Analyst, Office Assistant

New York, New York, United States

The successful candidate is expected to:

  • Operate office equipment, including ad hoc technology needs for video conferencing, webinars and conference calls.
  • Coordinate with technology to ensure all office equipment is fully operational
  • Manage inventory and supply orders, filing and office organization, and other administrative duties as necessary.
  • Coordinate ordering and distribution of daily lunch orders for all office personnel.
  • Oversee all FedEx drop offs, UPS and USPS activities. (Deliver mail and packages)
  • Walk the office regularly on both floors to ensure all areas are tidy and presentable.
  • Tidy and straighten conference rooms after meetings, wipe down conference tables.
  • Set up conference rooms before meetings, preparing beverages and refreshments etc.
  • Assist with catering set up and clean up.
  • Empty and reload dishwashers
  • Restock kitchen supplies continuously.
  • Refill office supplies as needed i.e. printer paper.
  • Monitor inventory supplies and notify manager when running low.
  • Prepare shipments, drop offs.
  • Run small errands as needed.
  • Help prepare materials for meetings.
  • On occasion, scan, copy assist with printing documents including binding.
  • Report maintenance issues (leaks, broken furniture, lighting).
  • Exhibit a positive, can-do attitude

Qualifications:

  • Bachelor's degree preferred.
  • Strong proficiency in Microsoft Office preferred.
  • Strong organizational skills, including the ability to work with minimal supervision and manage competing priorities.
  • Strong communication skills, including the ability to provide updates and solicit feedback from supervisors and colleagues as needed.
  • Highly motivated, driven and community oriented.
  • Demonstrate professionalism and a high degree of discretion in all interactions.
  • High level of dependability and accountability

Salary Range:

Expected base salary range for this role is $50,000 - $55,000/year. This range represents base salary only and does not include bonus or other forms of compensation. Actual base salary may vary based upon, but not limited to relevant experience, peer and market data, business sector, and/or geographic location. This role may also be eligible for an annual discretionary incentive compensation award.
