Job description

Position: Warehouse Administrative Assistant
Reports to: Warehouse Manager
Location: Glendale, WI
Type: Non-exempt
Summary: The Administrative Assistant assists the warehouse office team in its various functions including receiving functions for all forms of inbound transportation, processing outbound merchandise transfers to the 16 stores as well as store-to-store transfers not originating at the warehouse. This position will also respond to store inquiries and requests for transfers.
Essential Duties and Responsibilities include the following. Other duties may be assigned to meet business needs.
  • Personally assist in developing a culture that understands, demonstrates and is passionate about the vision, mission and values of the organization.
  • Provide assistance in scheduling of future inbound transportation to the warehouse.
  • Maintain visibility of inbound schedules to warehouse staff and home office purchasing.
  • Assist in checking in Driver check in and dock assignment.
  • Assist with management of required transportation documentation.
  • Assist in processing of receipts into the warehouse as well as one of several types of cross-dock processes.
  • On a daily basis complete the distribution of calculated inter-store transfers from the warehouse to each of 16 store locations.
  • Assist with general warehouse functions during seasonal peaks.
  • Process store special orders per the special order process.
  • Demonstrate ability to manage data integrity through use of back office computer systems.
  • Communicate directly with stores and home office to resolve delivery discrepancies in purchase orders, transfers, defective / damaged product.
  • Foster a respectful work environment

Employment Requirements:
  • Requires proficiency of Microsoft Office with familiarity in Excel
  • Strong analytical skills, attention to detail and data management
  • Audit and verify accuracy of outbounding freight shipments
  • Maintain daily records of all audited freight, noting accuracy, and share reports with internal management and Home Office inventory team weekly
  • Maintain log of daily truck security seal usage verifying compliance in their usage
  • Possess the ability to adapt and change based upon specific situations
  • Ability to work in a team environment as well as individually under minimal supervision.
  • Develop and maintain external auditing processes with district managers and home office inventory team
  • Exceptional communication and interpersonal skills
  • Ability to build strong relationships with store personnel and vendor community
