Job description

MARS Solutions Group is looking for an experienced Back Office Support Administrator located in Chicago, IL. Our client is a Utility and Natural gas industry Leader looking for high-quality talent to make a difference. They are known to respect a traditional work week and often extend contracts for added job security and stability

Position Overview

We are seeking a detail-oriented Back Office Support Administrator to provide administrative and operational support for a field-based workforce. This position will be responsible for maintaining accurate records, coordinating resources, tracking employee and vehicle information, supporting equipment management, and assisting with training activities.

The ideal candidate is highly organized, comfortable working with data and electronic systems, and able to manage multiple priorities while maintaining a high level of accuracy.

Responsibilities

Time entry
Receive the daily recap sheets from field employees and reconcile with electronic time entry system. Make updates as necessary and submit for approval.
Resource Scheduling
Update the PCAD application to reflect available daily resources
Absence tracking
Employees not reporting to work are expected to inform management. Those notifications need to be logged, tracked, and reported.
Vehicle tracking
Each of the 140+ employees have their own vehicle and they often change locations or are down for maintenance. The status and location of all the vehicles need to remain up-to-date.
Assist Supervisors in managing CCG tools and devices
Each of the 140+ employees have specialized tools and devices to assist them in their tasks. Assist the Supervisors with keeping track of available supplies and taking steps to repair or replace as needed.
Facilitate annual and ad-hoc training sessions
Training sessions are often held to pass along new or changed information in policies or procedures. This position may help in coordinating those sessions and delivering the material.

Required Qualifications

Previous experience in an administrative, clerical, data entry, operations support, or coordination role.

Strong data entry and record-keeping skills.

Excellent attention to detail and accuracy.

Strong organizational and time-management skills.

Ability to learn and retain processes, procedures, and system information.

Ability to manage multiple tasks and priorities in a fast-paced environment.

Strong written and verbal communication skills.

Proficiency with Microsoft Office applications, particularly Excel.

Ability to work independently while supporting supervisors and field personnel.

Preferred Qualifications

Experience supporting field operations, maintenance, utilities, construction, facilities, or similar environments.

Experience with employee scheduling or workforce coordination.

Experience tracking vehicles, equipment, tools, or inventory.

Experience working with electronic timekeeping or workforce management systems.

Experience coordinating training or administrative programs.
