Job description

Accounting Administrative Assistant

National CORE is seeking a highly organized and detail-oriented Accounting Administrative Assistant to support our Accounting Department. Reporting directly to the Controller, this role is essential in coordinating annual audits and tax return processes, managing vendor administration, supporting special projects, and ensuring smooth day-to-day accounting operations.

This position is ideal for someone who thrives in a fast-paced environment, enjoys managing multiple priorities, and is comfortable working with various systems and databases. During audit and tax season, you'll play a critical role in coordinating audits, tax filings, and communications with external partners. Throughout the remainder of the year, you'll provide valuable administrative and operational support to the Accounting team.

What You'll DoAudit & Tax Administration
  • Coordinate and track annual audits and tax return processes from start to finish.
  • Maintain systems and workflows that organize and streamline audit and tax activities.
  • Manage year-end bank and mortgage confirmations while serving as a liaison with external auditors.
  • Track audit and tax filing deadlines and proactively communicate status updates.
  • Coordinate requests for information between auditors, investors, internal departments, and external partners.
  • Upload and organize financial statements, workpapers, journal entries, and supporting documentation.
  • Manage electronic filing systems for audits and tax returns.
  • Monitor project transitions from construction to operations and maintain accurate audit records.
  • Review audit and tax invoices, coordinate payment processing, and investigate outstanding balances.
  • Assist with correspondence from taxing authorities and coordinate responses with internal teams and audit firms.
  • Attend audit meetings, document action items, and ensure timely follow-up.
  • Coordinate certified mailings and maintain filing records as needed.
Accounting & Administrative Support
  • Distribute and manage incoming department mail.
  • Organize and maintain accounting files and department records.
  • Prepare reports and support special projects for management.
  • Provide administrative support to the Controller and Accounting Department.
  • Assist with departmental meetings, events, and team functions.
  • Support departmental operations during vacations, peak workloads, and special initiatives.
  • Participate in company-sponsored training, team-building activities, and professional development events.
Vendor Management
  • Assist with new vendor setup and maintenance in Yardi.
  • Ensure all required documentation and approvals are properly recorded.
  • Update vendor records and maintain accurate information.
  • Monitor vendor communications and provide timely support to internal and external stakeholders.
What We're Looking ForRequired Qualifications
  • Bachelor's degree or equivalent combination of education and experience.
  • Minimum of 3 years of administrative experience supporting accounting, finance, or business operations.
  • Advanced proficiency with Microsoft Office, particularly Excel and Word.
