We are currently seeking a Legal Assistant to join the Business Law section. The primary purpose of this position is to provide administrative and practice  management support to lawyers within the group.  This role requires a highly organized individual with strong communication skills, attention to detail and professionalism when interacting with lawyers, firm members, and clients.
Key Responsibilities:
 
  • Preparing, editing, formatting, and managing legal documents, including agreements, correspondence, memoranda, presentations, organizational charts, and other practice specific documents
  • Managing file opening and conflict searches
  • Proofreading documents against originals and preparing blackline/comparisons as required
  • Maintaining practice specific databases
  • Arranging conference calls, including coordinating with participants and distributing call details
  • Managing calendars, keeping lawyers informed of ongoing an outstanding matters
  • Coordinating meetings, including preparing all necessary materials, booking boardrooms, arranging for catering,  audio visual equipment, and other meeting requirements
  • Entering dockets, preparing cheque requisitions, wire transfers and trust documentation (as applicable), and processing related transactions as appropriate
  • Assisting with the monthly billing process
  • Coordinating work with other Legal Assistants and support services to ensure  timely completion of tasks and appropriate support is provided to the legal practices being serviced
  • Providing back-up assistance to other lawyers and assistants during absences as needed
  • Other duties as assigned

Requirements:
  • Post-secondary education with a focus on legal administration or equivalent
  • 2+ years of relevant experience within a legal professional services environment
  • Excellent knowledge of MS Office Suite including: Outlook and Word
  • Knowledge of document management practices
  • Strong written, verbal, and interpersonal  communication skills
  • Knowledge of the Rules of Civil Procedure, court forms, scheduling, and filings
  • Ability to organize, multi-task, and prioritize appropriately
  • Demonstrates excellent client service and ability to anticipate client needs
  • Strong problem solving skills, flexibility, and posses the ability to work effectively with others
  • Knowledge of law firm monthly billing process
  • Strong work ethic, demonstrates initiative, self-directed, and holds an advanced capability for task completion with minimal supervision
