Position Summary

The Business Office Manager is responsible for overseeing the administrative, operational, and business support functions that keep All AV Services running efficiently. This role serves as a key partner to the leadership team while coordinating office operations, procurement, rental operations, inventory management, scheduling, accounting support, human resources administration, and business systems.

The ideal candidate is organized, proactive, detail-oriented, and capable of managing multiple priorities while supporting a growing team and improving operational processes.

Key Responsibilities

  • Manage daily office operations, administrative processes, documentation, and internal workflows.
  • Serve as Executive Assistant to the Owner by managing calendars, coordinating meetings, preparing reports, handling communications, and supporting strategic initiatives.
  • Schedule and coordinate professional development meetings, leadership meetings, employee training, and company events.
  • Coordinate procurement activities, including vendor communication, purchasing, quotes, purchase orders, and delivery tracking.
  • Manage rental operations, including reservations, rental agreements, equipment availability, logistics, returns, and customer communication.
  • Maintain accurate rental and company inventory records, including equipment tracking, audits, asset management, and maintenance coordination.
  • Support sales, project management, and service teams with scheduling, documentation, customer communication, and operational coordination.
  • Coordinate technician, installation, service, and project schedules to ensure efficient resource utilization.
  • Manage customer billing, invoicing, Accounts Receivable, Accounts Payable, vendor payments, and financial recordkeeping.
  • Assist with budgeting, expense tracking, reporting, and accounting processes.
  • Support Human Resources activities, including recruiting coordination, onboarding, employee records, payroll support, training documentation, and compliance requirements.
  • Manage and maintain business software systems, including CRM, accounting, scheduling, inventory, and project management platforms.
  • Ensure accurate data entry and reporting across business systems.
  • Prepare operational reports, metrics, and updates for leadership.
  • Manage office supplies, equipment, facilities, and vendor relationships.
  • Maintain confidential company, employee, customer, and financial information.
  • Identify opportunities to improve processes, increase efficiency, and support company growth.
  • Perform additional administrative and operational duties as needed.
