We are looking for a dedicated and organized individual to join our client's team in Rochester. In this role, you will contribute to ensuring efficient office operations, supporting various administrative tasks, and facilitating effective communication within the team.

Responsibilities include:

  • Providing administrative support to ensure efficient operation of the office.
  • Managing and organizing schedules, appointments, and meetings.
  • Preparing and editing correspondence, reports, and presentations.
  • Handling incoming and outgoing communications, including emails and phone calls.
  • Maintaining and updating filing systems, both electronic and physical.
  • Assisting with the coordination of office activities and events.
  • Supporting the processing and delivery of mail, visitor reception, and phone management.
  • Serving as primary customer support for facility and housekeeping issues, kitchen management, and A/V troubleshooting.
  • Supporting day-of execution for meetings and events, including coordination with team/vendors and managing logistical needs.
  • Maximizing work and meeting space utilization by supporting the reservation and meeting space management process.

Requirements include:

  • 3-5 years of experience in an administrative assistant role.
  • Strong organizational and communication skills.
  • Proficiency in Microsoft Office Suite and other relevant software.
