Executive Administrative Coordinator


Position Summary

We are seeking a highly organized and proactive Executive Administrative Coordinator to support executive leadership and ensure smooth day-to-day office operations. This role is responsible for managing schedules and meetings, coordinating internal communications and events, overseeing office supplies and vendor relationships, and assisting with social media content posting and administrative marketing support.

The ideal candidate is detail-oriented, professional, resourceful, and capable of managing multiple priorities in a fast-paced environment.


Key Responsibilities


Executive Support

  • Manage executive calendars, schedules, and appointments.
  • Coordinate internal and external meetings, including logistics and meeting invitations.
  • Prepare agendas, meeting materials, and follow-up communications.
  • Assist with travel arrangements and expense reporting as needed.
  • Serve as a primary point of contact for scheduling and administrative requests.


Internal Communications

  • Draft and distribute company announcements and internal communications.
  • Coordinate leadership meetings and team communications.
  • Maintain organizational calendars and key event schedules.
  • Ensure timely communication of important updates across the organization.


Office Administration

  • Order and manage office supplies and equipment.
  • Coordinate with vendors and service providers.
  • Maintain an organized, professional office environment.
  • Assist with onboarding activities and general office administration.
  • Support company events, meetings, and employee engagement activities.

 

Social Media Support

  • Schedule and post approved content on LinkedIn, Facebook, and other social platforms.
  • Monitor comments and messages and route inquiries appropriately.
  • Coordinate with internal teams to gather content and updates.
  • Help maintain a consistent company brand and voice for each of our brands.


Preferred Qualifications

  • 2+ years of administrative, executive assistant, or office coordination experience.
  • Excellent organizational and time-management skills.
  • Strong written and verbal communication abilities.
  • Proficiency in Microsoft 365 (Outlook, Teams, Word, Excel, PowerPoint).
  • Experience using social media platforms (LinkedIn, Facebook, Instagram) for business purposes.
  • Ability to manage multiple priorities while maintaining attention to detail.
  • Professional, positive, and service-oriented approach.


Compensation Range

  • $25-$32 hr based on experience
