The Athletic Operations Coordinator plays a vital role in advancing that mission by leading the day-to-day operational functions that support a positive and competitive student-athlete experience. As the department's primary coordinator of logistics, business operations, and event management, this position works collaboratively across campus to ensure seamless execution of athletic programs while maintaining compliance with NAIA, WHAC, and institutional standards.
The Athletic Operations Coordinator works closely with the Athletic Director to implement and enforce all NAIA, WHAC, and Baker College regulations while supporting the daily operations of the Athletic Department. This position coordinates all team travel arrangements, including transportation, lodging, and meals, and maintains comprehensive records of department contracts, vendor agreements, policies, and procedures. The Coordinator assists with financial and business operations by supporting accounting functions, purchasing activities, financial reporting, travel expenditures, and budget monitoring. Responsibilities include analyzing monthly financial reports, creating purchase orders, reconciling sport-specific purchases and travel expenses, and ensuring expenditures align with approved budgets. The role manages game contracts, schedule confirmations, and event cancellations with opposing institutions and officials while overseeing home game-day operations, coordinating officials, and facilitating visiting team logistics. The Coordinator administers department calendars, facility scheduling, and practice schedules while serving as the primary liaison with campus facilities and maintenance personnel. Additional responsibilities include coordinating communication between coaching staffs, athletics administration, and campus departments; assisting in the development and evaluation of procedures designed to prevent NAIA and WHAC violations; monitoring fundraising activities for compliance; supporting athletic fundraising initiatives and annual fundraising events; assisting with the hiring, onboarding, supervision, and evaluation of student employees and graduate assistants; participating in departmental meetings, workshops, and retreats; and coordinating community outreach and volunteer service opportunities for student-athletes.
Candidates must possess a bachelor's degree in Sports Management, Education, or a related field; a master's degree is preferred. The successful candidate will have a minimum of two to five years of collegiate and/or professional athletics experience, with experience in NAIA or NCAA environments preferred. Demonstrated success in athletic administration, student-athlete development, budget management, and effective communication is essential, along with the ability to clearly convey departmental expectations to student-athletes and staff. The ideal candidate will exhibit strong strategic thinking and decision-making skills that support the continued growth and success of Baker College Athletics. This position requires exceptional organizational abilities and the capacity to manage multiple priorities simultaneously, including team operations, travel coordination, budget-related activities, and administrative deadlines. A strong commitment to institutional integrity and adherence to the rules, regulations, and values of the National Association of Intercollegiate Athletics (NAIA), Wolverine-Hoosier Athletic Conference (WHAC), and Baker College Athletics is required. Candidates should also possess knowledge of athletic operations and sport-specific training principles, as well as proficiency with recruiting platforms, video analysis tools, and the Microsoft Office Suite.
