Job description

Sales Tax Associate I

The Sales Tax Associate I is responsible for supporting the company's tax function by preparing workpapers and reports for sales tax returns, preparing and filing simple sales tax returns, maintaining sales tax exemption files for customers and vendors, and maintaining business licenses.

Key Responsibilities:

  • Prepare audit-ready worksheets and workpapers for tax documentation
  • Prepare workpapers for review at least a week before filing due date
  • Stay on top of day-to-day responsibilities to not get behind and create a backlog
  • Keep track of larger project deadlines to stay on target
  • Follow up on email requests for information to keep projects moving
  • Maintain and respond to emails and/or Teams messages in a timely manner
  • Answer inquiries from within the accounting department and other departments
  • Facilitate communication with third parties as needed
  • Update and maintain standard operating procedures for all assigned responsibilities
  • Research tax issues as needed
  • Provide support on additional projects within the tax department as needed
  • Assist other tax department members as necessary to cover deadline requirements

Specific Responsibilities:

  • Assist with preparation of sales/use tax returns and payments monthly, quarterly, annually
  • Prepare and maintain audit-ready workpapers for sales tax returns that tie to the general ledger
  • Assist with answering questions about sales and purchase exemption documentation
  • Answer questions about taxability of sales and purchases as needed
  • Prepare debit and credit memos as needed for sales tax corrections
  • Prepare and maintain scanning of exemption documentation
  • Periodically review state sales tax requirements for maintaining deadlines and discounts
  • Review company invoices to document sales states as needed
  • Coordinate with CTCorp for SOS filings and renewals
  • Maintain and prepare business license renewals
  • Prepare annual updated POA's and W-9's for tax department
  • Review annual subscriptions and document for timely check requests and amounts
  • Prepare any tax mail for certified mailing
  • Open and distribute all incoming tax mail to members of the tax team
  • Compile paper files as needed annually for preparing boxes for storage

Education and Experience Requirements:

  • Bachelor's degree in accounting, business, or a related field, or equivalent relevant experience
  • 2+ years of experience with corporate sales tax, manufacturing exemptions, or related analytical role
  • Manufacturing company and/or public company experience is a plus (not required)

Knowledge, Skills, and Abilities:

  • Detail-oriented and organized
  • Proficient knowledge and use of Microsoft Office Suite, especially Excel
  • Ability to connect with team members and work cohesively
  • Flexibility with work responsibilities

Essential Mental and Physical Functions:

  • High ownership mindset
  • Ability to manage multiple tasks and priorities in a fast-paced environment
  • Frequent use of computer systems for analysis and reporting
  • Ability to sit for extended periods and work with detailed information
  • Occasional standing and walking for meetings or site visits; compliance with safety policies during operational site engagements with seasonal temperatures, dust, and some chemical fume exposure
  • Ability to lift up to 50 pound boxes as needed

Work Environment:

Work performed primarily in an office setting.
