Redlands Christian Migrant Association (RCMA) is a nationally recognized non-profit leader in childcare and early education. RCMA operates more than 53 centers and 3 charter schools, with a staff of 1,400 employees, in 18 Florida counties. PURPOSE OF POSITION: To provide an extensive level of support to the Interim Risk and Compliance Officer, acting with little supervision, anticipating needs while managing the day-to-day workflow, and prioritizing various projects. These projects may impact multiple departments, systems, and workflows with a high level of complexity.


ESSENTIAL DUTIES AND RESPONSABILITIES include the following; however, other duties may be assigned:


General Administrative Duties:

  1. Composes and creates correspondence, reports, forms, spreadsheets, and other complex documents. Correspondence includes communication to committees, groups & individuals.


  1. Prioritizes and handles internal and external correspondence.


  1. Performs administrative duties as required, including but not limited to copying, faxing, mailing, invoice/expense processing, and filing.


  1. Develops and/or maintains a comprehensive filing system.


  1. Responds to initial inquiries regarding speaking engagements.


  1. Screens incoming calls with the highest level of professionalism and ensures appropriate follow-ups.


  1. Schedules internal and external meetings, manages logistics, and ensures meetings and appointments run on time.


Risk Management Tasks:

  1. Responds to brokers' requests for information, completes, and submits insurance renewals.


  1. Updates property and center information for broker submissions.


  1. Tracks student accidents, files claims, submits POs for deductible payment, and reconciles with the Explanation of Benefits provided by Student Accident Insurer.


  1. Maintains an independent auto inventory spreadsheet and communicates vehicle additions and removals to the broker throughout the policy term.


  1. Tracks liability claims, legal actions, and medical payments activities.


  1. Responds to subpoenas received by coordinating with other departments for information and legal counsel.


  1. Maintains and updates records of leased/owned/rented properties.


  1. Uploads and provides new Certificate of Insurance carrier and Auto IDs to all staff and locations.


  1. Collaborates and communicates with other staff to ensure policies and procedures provide adequate risk protection and meet the requirements of RCMA insurers and grantors.


  1. Collaborates with other staff to verify that motor vehicle licensure meets RCMA requirements.

MANDATORY QUALIFICATION REQUIREMENTS:

To perform this job successfully, an individual must be able to perform each essential duty element satisfactorily while exercising independent judgment and discretion under the general supervision of the Interim Risk and Compliance Officer. The requirements listed below are representative of the knowledge, skill, and/or ability required. The individual must meet age, medical, moral character, and any other requirements as defined by Florida Statutes.

REQUIRED EDUCATION AND EXPERIENCE:

  • Associate degree with 1-3 years of experience in business and compliance administration.
  • High School diploma or GED with 5-7 years of experience in business and compliance administration.


OTHER REQUIREMENTS:

  • Must be age 21 or older, must possess or be able to obtain a Florida driver’s license, and have a driving record that meets RCMA’s insurance carrier requirements.
  • Must be willing to travel locally and statewide for work-related tasks, or attend trainings, as needed.
  • Flexibility to work outside standard hours, occasional evenings, and varying daytime shifts during weekdays, and some weekend work is required.
  • Ability to collaborate effectively with staff, families, professionals, and community partners.

PREFERRED QUALIFICATIONS:

  • Work experience in nonprofit organizations
  • Bilingual in English and Spanish
  • Experience with organizing records and basic insurance needs
