  • Manage mailroom shipping and receiving activities, ensuring packages, deliveries, and materials are handled efficiently and accurately.
  • Prepare desks, supplies, and workspaces for new hires to support a positive onboarding experience.
  • Support onsite events, office activities, employee experience initiatives, and ad hoc operational needs.
  • Maintain strong communication with employees, vendors, and stakeholders to ensure operational requests are handled with professionalism and follow-through.
  • Identify opportunities to improve daily workflows, service standards, organization, and overall office efficiency.

To succeed you should have...

  • 4+ years of experience in office management or operations, workplace services, facilities coordination, or administrative support in a corporate office environment.
  • Strong experience coordinating daily office operations in a fast-paced, high-volume environment.
  • Experience processing invoices, purchase orders, vendor requests, or operational expense documentation.
  • Ability to manage multiple priorities, respond to changing needs, and follow through on tasks with minimal oversight.
  • Strong attention to detail, organization, and accuracy in administrative and operational work.
  • Professional communication skills with the ability to partner effectively with employees, vendors, building teams, and cross-functional stakeholders.
  • Excellent organizational and time-management skills.
  • Strong customer service mindset with a proactive, solutions-oriented approach.
  • Ability to communicate clearly, professionally, and promptly with a wide range of stakeholders.
  • Strong follow-through and ability to track open items through completion.
  • Comfortable working independently while also collaborating closely with a broader operations team.
  • Ability to manage vendor coordination, service requests, inventory needs, and workplace support tasks simultaneously.
  • Proficiency with Microsoft Outlook, Word, Excel, Teams, and related workplace productivity tools.
  • Ability to maintain confidentiality, professionalism, and sound judgment in a workplace setting.

We'd love it if you also have...

  • Experience working with janitorial teams, day porters, building management, and third-party vendors.
  • Familiarity with food delivery coordination, office stocking programs, mailroom operations, or event support.
  • Experience supporting onboarding logistics, including desk setup, supply readiness, and workspace preparation.
  • Experience using procurement, ticketing, inventory, or facilities management systems.
  • Ability to identify process improvements and recommend practical solutions that improve office efficiency and employee experience.
