Who You Are

The ideal Legal Operations Coordinator is a detail-oriented, proactive professional who excels at managing processes, maintaining organization, and handling sensitive information with discretion. You are comfortable working with legal documents, technology platforms, and cross-functional stakeholders while helping improve efficiency and consistency across the legal function.


What You’ll Do

As a Legal Operations Coordinator, you will play a key role in enhancing the efficiency, organization, and effectiveness of Mennel’s legal department. You’ll help manage legal workflows, contracts, compliance activities, and technology platforms while supporting the delivery of legal services across the enterprise.

Legal Intake & Matter Management
  • Serve as the primary point of contact for internal legal requests
  • Coordinate matter intake and workflow through legal management software (Filevine)
  • Create, manage, and maintain active and archived legal files
  • Monitor legal matter status and ensure timely follow-up and closure
Contract Lifecycle Management
  • Manage contract intake, tracking, filing, and renewal notifications
  • Coordinate contract review and approval workflows across business units
  • Maintain contract repositories, version control, and audit readiness
  • Track key contract obligations, deliverables, and important dates
Outside Counsel & Legal Spend Management
  • Review and process outside counsel invoices in accordance with billing guidelines
  • Track legal spend and assist with budgeting, forecasting, and reporting
  • Support relationships with outside law firms and legal service providers
Legal Technology & Process Improvement
  • Serve as administrator and subject matter expert for Filevine and Filejet
  • Identify opportunities to improve workflows, reporting, and data quality
  • Support implementation of legal technology solutions and process improvements
Legal Documents & Routine Agreements
  • Maintain templates and forms for standard legal agreements
  • Support routine contract requests and contract administration activities
  • Conduct initial reviews and issue-spotting for standard commercial agreements
Corporate Governance & Compliance
  • Support Assistant Secretary responsibilities, including board and shareholder meeting minutes
  • Maintain corporate records and entity management documentation
  • Coordinate multi-entity compliance activities and annual filings
  • Track governance deadlines and ensure timely completion of required filings
Legal Research & Administrative Support
  • Conduct legal research on compliance and regulatory topics under attorney supervision
  • Coordinate calendars, meetings, and travel arrangements for the legal team
  • Support special projects and strategic initiatives as assigned

What We’re Looking For
  • Associate degree in Legal Studies, Pre-Law, Paralegal Studies, or related field preferred
  • Minimum of 2 years of paralegal, legal operations, or corporate legal department experience
  • Legal Operations certification or coursework (CLOC, ACC, or similar) preferred
  • Experience with contract lifecycle management (CLM) processes
  • Proficiency with legal management systems such as Filevine or similar platforms
  • Working knowledge of corporate governance, compliance tracking, and records management
  • Strong organizational, project management, and prioritization skills
  • Ability to perform initial contract and document reviews
  • Exceptional written and verbal communication skills
  • High level of professionalism, discretion, and confidentiality
