Job description

The Regional Associate Director, Property Management will act as the department head for all senior property managers, property managers, assistant property managers and supporting administrative staff throughout the assigned region.  In addition, this position is responsible for the daily management of the commercial real estate assets throughout the assigned region and is responsible for driving property management transitions through the acquisition, on-boarding, refinancing, and disposition processes. This position will also be responsible for the implementation of strategic department initiatives, training and mentoring, fostering teamwork, identifying property management best practices, and ensuring that the assigned remote offices feel supported and connected.

Reporting to the Senior Director, Property Management, the Regional Associate Director, Property Management may also perform the role of interim property manager for BKM properties or perform other interim responsibilities based upon business needs. Travel up to 50% will be required.

This role is 100% in-office due to the collaborative nature of our business.

The Job Essentials:

 This person's key responsibility will be as follows:

 Leadership/ Management of Property Managers and Staff

  • Hire, lead and develop remote, on-site teams to include senior property managers, property managers, assistant property managers, maintenance technicians and other on-site support.
  • Hold monthly team meetings and weekly or bi-monthly one-on-one meetings with direct reports.
  • Assess existing team skills and training needs and conduct mid-year and yearly performance reviews through Performance Pro
  • Create a culture of accountability, ownership and commitment to internal stakeholders, clients, and tenants.
  • Visit field offices a minimum of twice a quarter.  Presence is extremely important.
  • Ensure remote offices feel connected to our HQ office through weekly communications and consistent on-site visits
  • Partner with the assigned Asset Managers to ensure PM service levels are being met.
  • Act as a resource to on-site teams at any capacity needed.
  • Maintain a strong fiduciary responsibility to the company.
  • Keep the Senior Director, Property Management fully informed on all problems and matters of unusual significance ensuring proactive action is taken when appropriate.
  • Participate in new asset underwriting assumptions.

Operational Efficiencies

  • Visit properties and meet with tenants on a consistent basis.
  • Develop and maintain relationships with major tenants/clients demonstrating a commitment to service.
  • Participate in the execution of Capital Improvements for assigned assets.
  • Engage and direct internal management and third-party vendors including contractors.
  • Continually assess best practices and update as needed.
  • Ensure that Property KPI's are met or exceeded, including COI's, Accounts Receivable, Occupancy, OPEX, Rollovers, and Property Inspections.
  • Evaluate and resolve property operational issues within Budget and Portfolio goals and objectives.
  • Monitor and report on asset operational and financial performance on an ongoing basis.
  • Prepare cam recs and property budgets on an annual basis and monitor budget vs. actual results.
  • Work with our insurance broker on annual renewal and any claim-related issues.      

Leadership Duties:

  • Lead by example to create a positive environment while embracing the company's brand and culture.
  • Create a culture of accountability, ownership and commitments to internal stakeholders/clients/tenants.
  • Assist Senior Director of Property Management with implementation of strategic department initiatives - "One Company, One Process."
  • Regularly engage with Senior Director of Property Management to ensure that financial objectives of BKM Management Company and field offices are met, including financial reporting, budgeting, and annual goals.
  • Provide regional support to enhance operational processes and efficiencies.
  • Mentor and train Property Management field teams when necessary

Property Management Duties:

  • Act as interim Property Manager when necessary. Assist Senior Director of Property Management with new team member onboarding.
  • Other ad-hoc projects and responsibilities from time to time based upon business needs.

Regional Property Transitions

Acquisition Duties:

  • Act as Property Management's point of contact with Acquisitions and Due Diligence team
  • Review offering memorandums and provide comments to Due Diligence team.
  • Review service contracts
  • Abstract leases
  • Perform tenant interviews
  • Tour properties when necessary

On-Boarding Duties:

  • Perform assigned Pre-Transition activities using Asana workflow processes
  • Assess property needs and make staffing recommendations necessary to support optimal property operations.
  • Schedule team meeting to discuss transition roles and responsibilities
  • Act as liaison between Construction department and Property Management team to ensure Capital/Repositioning objectives are clearly defined and communicated to stakeholders.
  • Assist field office with 1st Day - 30th day transition activities if necessary

Refinancing Duties:

  • Work closely with Portfolio Management and Financing team regarding refinance schedule
  • Communicate upcoming refinance schedule to field offices
  • Assist with estoppel process when necessary

Disposition Duties:

  • Review offering memorandums and provide comments to Disposition team.
  • Provide support to Disposition team in preparing data room and rent rolls
  • Communicate disposition details to property management team
  • Ensure property tour schedule is communicated to property manager.
    • Assist in tenant suite selection for tour
  • Communicate estoppel schedule to property manager and manage estoppel collection process.

 The Qualifiers

  • Bachelor's degree in real estate or other business discipline preferred.
  • Minimum ten years of related property management and leasing experience.
  • Current Real Estate License
  • Ability to collaboratively work in a dynamic team environment.
  • Champion the use of AI and emerging technologies to improve process efficiency.
  • Solid analytical skills (Excel)
  • General understanding and competence in the use of Yardi.
  • Strong written and verbal communication skills
  • Ability to work well with deadlines
  • Strong organizational skills
