WHAT YOU WILL DO
The Assistant Company Manager will assist the Company Manager to facilitate the artists' experience at Arena Stage and assist the General Management department to meet the production and operational needs of the organization.
MINIMUM/CORE REQUIREMENTS:
  • 1-2 years related experience and knowledge of all aspects relating to theatrical production.
  • Proficient in Microsoft Office, specifically Word, Excel & Access.
  • Experience and knowledge of all aspects relating to theatrical company management in a LORT setting, including knowledge of governing unions as they pertain to contracts, travel, and accommodation coordination.
  • Possess the ability to handle and prioritize multiple tasks in a fast-paced environment, to work collaboratively in a team setting, and to communicate effectively with a wide range of individuals.
  • Ability to transport up to 50 pounds.
  • Evening and weekend work required.
  • Valid driver's license.

MAJOR RESPONSIBILITIES:
Artist Relations:
  • Attend to the requests, needs, and questions of the artists as it relates to the organization and their residency. Regularly check in on resident companies during rehearsals, technical rehearsals, and production performances.
  • Serve as respondent for company management emergencies.
  • Coordinate the accommodation, travel, and ground transportation for all visiting artists and consultants to include approximately 250+ stays per season.
  • Assist in the management vendor relationships and contracted services for all housing and travel needs, including parking. Manage activation, reimbursement, and tracking, and assist in billing reconciliation.
  • Coordinate the distribution/collection of keys, tax forms, ticket policies, area information, etc. to guest artists.
  • Coordinate hospitality for artist events, as needed.
  • Coordinate with various departments to ensure clear communication of company policies, procedures, and needs to visiting artists.

Contracting:
  • In conjunction with the Company Manager, administer the contracts of Actors, Designers, Directors and Consultants for all production projects, to include approximately 450-500+ per season.
  • Assist in maintaining adherence to union agreements and communications with LORT, AEA, SDC and USA regarding contracts, work rules, rates, and applicable benefits.
  • Assist in bond applications and season-related notices to applicable unions.
  • Assist in applications for working permits and visas, as needed.

Financial:
  • Assist in the budget tracking of all housing, travel, physical therapy, and Company Management expenses.
  • In conjunction with the Company Manager, oversee the processing of all artist contracts and payments, assuring timely payments, and reporting. Prepare check requests and reimbursement as needed.

Administration:
  • In conjunction with the Company Manager, supervise and delegate tasks to GM/CM Fellow and Company Management overhire, as needed.
  • Monitor and maintain the Company Management vehicle.
  • Assist in other duties as assigned by the Company Manager, Associate General Manager, and General Manager.
