Job description

The Business Process Analyst will work with departments including Accounting, Human Resources, Marketing, Operations, and Technology to document business processes, identify operational challenges, and support process improvement initiatives.

This position will meet with employees and department leaders to understand how work is currently performed, document workflows and requirements, and help identify manual or repetitive activities that may benefit from process improvements, system changes, integration, automation, or artificial intelligence tools.

The Business Process Analyst will serve as a liaison between business departments and the software development team. This individual will assist with requirements gathering, documentation, project coordination, testing, training, and implementation activities.

This is an ideal opportunity for someone with strong communication, analytical, and organizational skills who is interested in developing experience in business process improvement, workflow automation, system integration, and AI-enabled business solutions.

Position Development

The individual in this role will have the opportunity to expand their knowledge and responsibilities in the areas of business process improvement, workflow automation, system integration, project management, and AI-enabled business solutions

As experience is gained, the position may take on greater responsibility for leading process-discovery sessions, managing improvement initiatives, evaluating automation opportunities, and coordinating cross-functional technology projects.

Essential Job Functions

Process Documentation and Analysis

  • Meet with employees, managers, and subject matter experts to understand existing business processes
  • Document current workflows, business rules, handoffs, systems, data inputs, and manual activities
  • Create process maps, workflow diagrams, standard operating procedures, and supporting documentation
  • Identify process gaps, duplicate data entry, manual workarounds, and repetitive administrative activities

Requirements Gathering

  • Gather and document business needs for application changes, reports, workflows, integrations, and new internal tools
  • Translate business requests into clear functional requirements, user stories, and acceptance criteria
  • Document expected outcomes, business rules, exceptions, and user needs
  • Review documented requirements with business stakeholders and technical team members
  • Assist with maintaining traceability between business requests, development tasks, testing, and implementation

Project Coordination

  • Assist with coordinating business and technology projects from discovery through implementation
  • Schedule and participate in project meetings, process-discovery sessions, and requirements reviews
  • Document meeting notes, decisions, action items, risks, and follow-up activities
  • Support project managers, department leaders, and technical team members with project documentation

Testing and Implementation Support

  • Assist with the development of test plans, test scenarios, and user acceptance testing documentation
  • Coordinate with end users to validate that application changes meet documented requirements
  • Document defects, questions, and requested changes identified during testing
  • Create implementation checklists, user guides, training materials, and support documentation

Process Improvement, Automation, and AI Support

  • Identify repetitive, manual, or time-consuming activities during process-discovery sessions
  • Document potential opportunities for workflow automation, system integration, or AI-assisted tools
  • Assist with researching available system features, automation tools, and process-improvement options
  • Monitor feedback and assist with documenting the results of implemented improvements

Application Support and Documentation

  • Assist business owners with documenting requested application upgrades, enhancements, and defect corrections
  • Maintain application documentation, process guides, user instructions, and change records
  • Help identify user needs and usability concerns within existing applications
  • Develop and deliver basic presentations, demonstrations, and training materials
  • Serve as a liaison between internal users and technical team members for assigned projects
  • Maintain security, confidentiality, and data privacy considerations when documenting business processes and system requirements

Required Qualifications

  • Legal authorization to work for any employer in the US; dipoloma or GED
  • Ability to sit, stand, and look at computer screen for extended periods
  • One to three years of experience in business analysis, project coordination, process documentation, application support, operations, or a related role
  • Strong written and verbal communication skills
  • Ability to manage multiple assignments and follow through on action items
  • Basic understanding of business processes and software applications
  • Ability to work collaboratively with both technical and non-technical employees
  • Proficiency with Microsoft Office or Microsoft 365 applications
  • Willingness to learn new systems, tools, and business processes

Preferred Qualifications

  • Bachelor’s degree in Business, Information Systems, Communications, or a related field.
  • Experience creating process maps, procedures, requirements, or workflow documentation.
  • Experience participating in software implementation or process-improvement projects.
  • Experience supporting Accounting, Human Resources, Marketing, Operations
  • Analytical thinking, attention to detail, curiosity and willingness to learn
