What You'll Do
As a Program Coordinator, you will oversee multiple residential programs and directly supervise Program Supervisors. You'll ensure operations run smoothly, compliance standards are met, and teams are supported, developed, and held accountable.
Leadership & Team Development
  • Supervise and coach Program Supervisors
  • Conduct introductory and annual performance reviews
  • Foster a culture of appreciation, accountability, and growth
  • Lead change initiatives and organizational improvements
  • Support professional development and leadership training
  • Maintain professional relationships with families and stakeholders

Compliance & Operational Oversight
  • Serve as a Subject Matter Expert on DDDS regulations and quality standards
  • Oversee incident reporting, GER approvals, and regulatory adherence
  • Analyze quality assurance data and participate in monthly quality meetings
  • Ensure corrective actions are completed and documented
  • Serve as point of contact during licensing reviews and complete Plans of Correction
  • Maintain confidentiality and professional discretion

Day-to-Day Program Oversight
  • Review schedules, staffing ratios, roll call, and overtime
  • Monitor documentation in Therap (ISPs, Tlogs, audits, clinician reports)
  • Conduct weekly home reviews and environmental audits
  • Oversee medication error reporting and follow-up
  • Review budgets, house controllables, and food budgets
  • Manage fleet logs, maintenance follow-up, and operational details
  • Participate in care team meetings and leadership meetings
  • Respond to emails within 24 hours (during business hours)
  • Participate in on-call rotation (evenings/weekends)

Person-Centered Leadership
  • Support individuals in identifying and achieving personal goals
  • Promote community integration and meaningful relationships
  • Monitor completion of POMS and Assistive Technology assessments
  • Ensure rights are protected and reviewed annually
  • Encourage self-advocacy and informed decision-making

Required Qualifications:
  • A high school diploma or equivalent (college degree preferred)
  • A minimum of four (4) years of experience as a Program Supervisor or Manager in residential services
  • A valid driver's license and the ability to meet background and regulatory requirements

Schedule, Work Environment & Physical Expectations
This is a full-time leadership position based out of our main office in Harrington, Delaware, operating primarily Monday through Friday during standard business hours. As a key member of the leadership team, the Program Coordinator provides office-based strategic oversight while maintaining strong visibility and engagement within residential programs.
Program Coordinators are required to provide after-hours support to the homes under their supervision in emergency situations. This includes being available to offer guidance, problem-solving, and leadership when critical issues arise outside of regular business hours.
Although headquartered in the Harrington office, this role requires regular visits to residential group homes and community settings to support Program Supervisors, monitor compliance, and ensure operational excellence across programs.
Physical expectations may include standing or walking during site visits, navigating residential environments, responding to urgent situations, and assisting individuals as required by support plans. The ability to remain calm, decisive, and solution-focused in high-pressure situations is essential.
