JOB SUMMARY:

Overall Summary of Function

The Assistant Warehouse Manager executes and supports all warehouse operations across Shipping, Receiving, Production, and Maintenance, ensuring alignment with company objectives, operational efficiency, and service delivery standards. This role is responsible for driving daily execution, supporting strategic planning, and maintaining cross-functional coordination to meet production timelines, inventory accuracy, and successful event delivery.

The Assistant Warehouse Manager executes the effective use of space, labor, equipment, and inventory while maintaining control over operational workflows, system accuracy, and asset management. This position plays a key role in ensuring proactive order advancement, resolving operational issues, and maintaining consistency across all warehouse activities.

In addition, the role executes and reinforces safety programs, regulatory compliance, and facility standards, while promoting a culture of accountability, teamwork, and continuous improvement. The Assistant Warehouse Manager works closely with the Warehouse Manager, Operations Leadership, and cross-functional teams to ensure scalable operations and overall operational success across all warehouse locations.

ESSENTIAL JOB FUNCTIONS:

At Minimum Duties & Responsibilities

Leadership & Department Oversight
  • Support the Warehouse Operations Manager by providing day to day leadership to Supervisors and Leads across Shipping, Receiving, Production, and Maintenance operations. Work in partnership with Warehouse Manager and Operations Leadership and cross functional department heads including Fabrication, Floral, Trade Show, V Series AV, and Print to support coordination, communication, and operational readiness.

  • Support the development and enforcement of departmental goals, KPIs, and workflow expectations while maintaining alignment with Warehouse Operations Manager directives.

  • Oversee daily operational tasks, floor activity, resource allocation, and staff coordination to ensure smooth workflow and on time completion of all warehouse functions.

  • Conduct daily check ins with Supervisors to confirm staffing coverage, priority setting, safety focus, and workload distribution.

  • Participate in performance evaluations, corrective actions, coaching sessions, and employee development planning.

  • Reinforce accountability, teamwork, professionalism, and safe work practices across the warehouse environment.

  • Ensure all staff have the tools, equipment, and information needed to perform their duties effectively.


Operational Strategy and Daily Execution
  • Execute daily, weekly, and monthly operational plans established by the Warehouse Operations Manager, adjusting as needed based on real time conditions.

  • Support and monitor labor distribution, departmental assignments, workflow sequencing, and shift transitions to maintain operational efficiency.

  • Oversee Receiving, Shipping, Inventory, Production, and Maintenance workflows to ensure proper coordination and timely movement of materials.

  • Support job scheduling by confirming that materials, equipment, personnel, and fleet resources are available and prepared for production, installation, and strike.

  • Reinforce SOPs, process discipline, and organizational standards across all teams to maintain consistency in operations.

  • Troubleshoot workflow issues in real time and take immediate corrective action to prevent delays or service failures.

  • Ensure accurate documentation including receiving logs, QC findings, shipping manifests, production handoffs, and inventory transactions.

  • Support facility compliance requirements by assisting with inspection preparation, maintaining documentation for equipment certifications and safety expirations, and coordinating with the Warehouse Operations Manager on landlord communication and facility maintenance needs.

  • Support and monitor accurate system check in and check out of items across Shipping, Receiving, Production, and Maintenance, coordinating with Inventory and maintaining clear communication with cross functional departments including Floral, Fabrication, Print, Trade Show, and AV V Series, escalating discrepancies as needed.

Fleet, Equipment, and Maintenance Coordination
  • Work closely with Shipping leadership on daily fleet assignments, vehicle usage plans, loading priorities, and transportation readiness.

  • Support compliance of all trucking operations with Department of Transportation (DOT) regulations, escalating issues to the Warehouse Manager as needed.

  • Support the coordination and administration of contracts with trucking companies and contractors, helping ensure cost effective and reliable services.

  • Ensure trucks and warehouse vehicles remain clean, organized, properly loaded, and compliant with internal safety expectations.

  • Support the enforcement of safe driving practices and fleet SOPs through training, oversight, and consistent communication.

  • Coordinate with Maintenance to ensure timely evaluation, repair, and readiness of damaged products, equipment, tools, staging materials, and operational assets.

  • Monitor availability and condition of equipment such as pallet jacks, carts, lifts, ladders, tools, and warehouse machinery.

Cross Department Collaboration
  • Collaborate with Production, Fabrication, Print Shop, Creative, Field Operations, Sales, Assistant Sales, PCs and PMs to support schedules and job requirements.

  • Communicate operational updates, constraints, and department needs to ensure alignment and proactive planning.

  • Participate in cross functional planning sessions including production meetings, scheduling reviews, safety briefings, and job prep discussions.

  • Maintain strong coordination of materials moving from fabrication or production to receiving, QC, storage, and outbound shipping.

Safety, Facility & Compliance Leadership

  • Ensure full compliance of all warehouse facilities with city, state, and federal regulations by overseeing requirements from Fire and Building authorities, OSHA, environmental agencies, and other applicable regulatory bodies, including permits, inspections, and documentation, while enforcing accountability to eliminate compliance risks.

  • Lead implementation and enforcement of all safety programs, OSHA standards, and company policies across warehouse operations, driving a safety-first culture through training, coaching, and consistent accountability.

  • Oversee facility readiness by conducting regular safety audits, documenting findings, and executing corrective action plans; maintain accurate and up-to-date records for safety certifications, fire inspections, equipment compliance, and expiration tracking.

  • Ensure all departments maintain clean, organized, and compliant work environments, enforcing daily operational and safety standards, including proper facility controls, equipment handling, and safe material storage.

  • Partner with Safety and Operations leadership to prepare for and successfully execute scheduled and unscheduled inspections by regulatory authorities.

  • Oversee maintenance and operational integrity of facility infrastructure, including docks, racking, staging areas, lighting, utilities, and safety systems, ensuring continuous readiness and compliance.
