Job Overview
You will be the "go-to" person for the administration of executive operations, including executive support and business management systems. A successful candidate may be an experienced EA eager to use their project management skills to expand the scope of their contributions, or might come from a communications or other specialized background with superb organizational and critical thinking skills, aiming to broaden their contributions. This is an on-site position located in Santa Rosa, CA.

A major theme of this role is the use of AI - including advanced, agentic AI capabilities to radically improve productivity across the executive office and the administrative function. The successful candidate will actively use, evolve, and help normalize AI-enabled ways of working as part of everyday execution.
Responsibilities
Executive Assistant & Executive Office Support
  • Provide direct, high-confidence executive assistance to the President of Global Services.
    • Complex calendar management and meeting coordination
    • Domestic and international travel planning
    • Preparation and organization of executive-level materials
    • Expense tracking, purchase requisitions, and approvals
  • Partner closely with the Global Services senior staff to support the operating rhythm of the executive office, ensuring meetings, reviews, and commitments are well-prepared and well-followed-up.
  • Serve as a central point of coordination for the President of Global Services' interactions with senior leaders, teams, and external stakeholders.
AI-Enabled Productivity & Administrative Modernization
  • Actively leverage AI tools (e.g., Microsoft Copilot, approved GenAI tools, and emerging agentic AI capabilities) to:
    • Reduce friction and manual overhead in calendar management, communications, document preparation, and follow-ups
    • Improve speed, quality, and consistency of executive-office execution
  • Help experiment with, refine, and operationalize AI-driven admin workflows, templates, and practices that can scale beyond the executive office.
  • Serve as a role model and pragmatic advocate for modern, AI-enabled ways of working across the Labs administrative community and staff - focused on outcomes and productivity, not hype.
Administrative Operations & Efficiency
  • Maintain accurate org charts
  • Support smooth logistics for leadership meetings, reviews, and large forums (e.g., town halls), including MS Teams setup and coordination.
  • Perform confidential administrative duties with discretion and professionalism.
  • Identify opportunities to standardize and streamline administrative processes, templates, and workflows - using both traditional process improvement and AI-enabled approaches.
Administrative Team Collaboration (Scope-Appropriate)
  • Collaborate with other administrative professionals across the organization to coordinate coverage, events, and best practices.
  • Support administrative alignment and adjustments as executive needs, organizational priorities, or support models evolve.

Qualifications
This is a critical executive support role, requiring adaptability, professional demeanor and effective communication.
  • 3+ years directly related experience in an executive support role
  • Associate or bachelor's degree; specialized training/certification is a plus
  • Excellent judgment and discretion is an absolute necessity
  • Strong office application skills, including MS Office suite business applications. Must be able to create and use documents of moderate complexity in Excel, PowerPoint, and Word. Other "table-stakes" tools skills include Teams, Zoom, Sharepoint, etc. Increasing leverage of AI tools such as MS Copilot and ChatGPT is expected.
  • Ability to work independently as well as part of a team
  • Excellent organization and time management skills
  • Excellent interpersonal skills and a pleasant, positive demeanor
  • Ability to exercise good judgment/decision making when necessary
  • Ability to prioritize and take initiative, and manage multiple activity streams
