Administrative Assistant

Classification: Hourly, Non-Exempt

Department: Transportation

Reports to: Transportation Manager

Company Overview

Southwest Forest Products Inc is a privately held vertically integrated forest products manufacturing company in Arizona.  Headquarter in Phoenix Arizona and employing nearly 200 people the company makes a wide range of products from North America’s largest contiguous Ponderosa Pine forest. 

The Position

Southwest Forest Products is looking for an Administrative assistant with high level Excel skills. This position will report to the Transportation Manager.  Specific duties include;

  • Analytics – processing operation reports for Analytical data for management
  • Responsible for managing the end process of Carrier contracts. 
  • Assisting with communication with Carriers.
  • Responsible for processing invoices and load documents in our system & to accounting.
  • Keeping Active and Terminated Carrier binders up to date.
  • Working closely with management to help input data into our new Transportation software.
  • Perform check calls to our Carriers to confirm they pick up loads or delivered loads.
  • Assisting in calling to collect load documents from our Carriers on completed loads. 
  • Clerical duties such as photocopies, faxing, Scanning, emailing, filing and reporting.

Successful Candidate 

The successful candidate will have an optimum combination of the following:

  • Must have higher than average Microsoft Excel
  • Able to work in Team environment and follow Chain of command.
  • Confidentiality is a MUST!
  • Able to multi-task in a fast pace environment. 
  • Tenacious character and highly dependable (attendance is critical) candidates are preferred.
  • Strong desire to advance.
  • Bi-lingual Preferred (English/Spanish)
