Job description

The Assistant to the Creative Director ensures the Creative Director's time, priorities, and execution stay tightly aligned with the most important business goals. The Creative Director's work touches product, merchandising, and marketing, and this role ensures nothing falls through the cracks across those areas.

This position is in-person full time, Monday to Friday, in our Philadelphia office.

Key Responsibilities:

Calendar & Priority Management

  • Own and manage the Creative Director's calendar with a focus on outcomes, not just scheduling
  • Proactively anticipate conflicts and restructure time to align with business priorities
  • Ensure the Creative Director is spending time on the highest-impact work

Meeting & Workflow Discipline

  • Ensure key design and product meetings are prepared, purposeful, and decision-driven
  • Gather materials, samples, and context in advance
  • Hold teams accountable for being ready
  • Track follow-ups and ensure execution happens

Product Team Coordination

  • Support the Creative Director in design and product meetings (fittings, sample reviews, concept reviews)
  • Keep the Creative Director informed on key product timelines and remind her of upcoming milestones, deadlines, and approvals
  • Flag risks early (missed deadlines, sample delays, etc.)
  • Assist with design meeting presentations, organize samples, assist with photoshoot prep and style outs, and prepare decks for photoshoots

Cross-Functional Alignment

  • Help connect product, merchandising, and marketing on Creative Director-led projects
  • Ensure communication is clear and deadlines are understood across teams
  • Keep projects moving forward without constant oversight

Administrative & Project Support

  • Manage Creative Director's inbox and communications
  • Support brand collaborations with light project management
  • Assist with travel planning and research for seasonal concept and inspiration trips
  • Kitchen maintenance (dishwasher, surfaces, restocking, etc.) and working closely with the office manager
  • Trash removal and general tidiness
  • Supporting shared spaces to ensure they are consistently presentable
  • Supporting with team-building activities/events 
  • Assisting with PR events, ordering supplies, working with vendors as necessary, and ensuring a smooth run of day
  • Support with trend research and market research 

Personal & Household Management

  • Schedule personal and family appointments (medical, kids' activities, etc.)
  • Coordinate household logistics and errands as needed, about 1-2 hours a day
  • Manage personal travel planning alongside work travel

Requirements

  • 5-7+ years of experience supporting a founder, executive, or senior leader in a fast-paced environment
  • Highly organized, proactive, and dependable
  • Demonstrated ability to anticipate needs and solve problems independently
  • Comfortable with hands-on work and physical tasks (organizing, lifting boxes, setting up rooms, running errands)
  • Professional, warm, and polished
  • Calm under pressure; able to manage many small moving pieces without escalation
  • Comfortable working in a creative, fast-paced, imperfect environment
  • Valid driver's license and reliable transportation required
