Job description

We are looking for an Administrative Assistant to support a contract office relocation project for an established nonprofit organization in Newark, New Jersey. This role is suited for a highly organized, detail-oriented individual who can bring structure to records, materials, and moving logistics while keeping documentation accurate and accessible. The person in this position will help coordinate day-to-day administrative tasks that contribute to an orderly and efficient transition. Success in this assignment will come from strong attention to detail, sound judgment with sensitive information, and the ability to stay productive while managing multiple priorities.
Responsibilities:
• Organize and maintain legal documents, office records, and other on-site files so materials are easy to locate and track throughout the project.
• Develop and update detailed inventories for furniture, equipment, supplies, and records associated with the office move.
• Review documents and materials against organizational guidelines to help identify what should be retained, archived, shredded, or discarded.
• Prepare files, records, and workplace materials for packing and transport to support a smooth relocation process.
• Assist with planning the layout of the new office, including documenting seating assignments and workspace arrangements.
• Keep clear and accurate records of project activities, inventories, and relocation-related decisions from start to finish.
• Work closely with internal team members to gather information, share updates, and help keep the move organized and on schedule.
• Provide general administrative support, including data entry, call handling, and front-office assistance, as needed during the assignment.• At least 3 years of experience in administrative support, office coordination, or a related business support role.
• Previous involvement with office moves, records organization, inventory tracking, or other large-scale administrative projects is strongly preferred.
• Excellent organizational abilities with a consistent focus on accuracy and follow-through.
• Ability to handle confidential documents and sensitive information with professionalism and discretion.
• Strong communication skills, both written and verbal, with the ability to collaborate effectively across teams.
• Capable of working independently, prioritizing tasks, and managing several responsibilities at once.
• Comfortable using standard office software and performing data entry, phone support, and general administrative tasks.
