Assistant Realtor information

What is an assistant realtor?

Assistant Realtors are professionals who support licensed real estate agents or brokers with various tasks involved in buying, selling, or leasing properties. Their responsibilities may include administrative duties, scheduling appointments, preparing documents, conducting research, and assisting with marketing efforts. While they do not typically perform direct sales activities unless licensed, they play a crucial role in ensuring smooth real estate transactions and helping agents manage their workload efficiently.

What does an assistant realtor do?

As an Assistant Realtor, your daily tasks often include managing client communications, scheduling property showings, preparing listing documents, and updating client databases. You also help coordinate open houses, gather market research, and ensure that all paperwork is completed accurately and on time. By handling these administrative and logistical duties, you free up the lead agent to focus on negotiations and client relationships, playing a crucial role in the team's overall efficiency and success.

What are the key skills and qualifications needed to thrive as an assistant realtor?

To thrive as an Assistant Realtor, you need a solid understanding of real estate processes, strong organizational skills, and often a real estate license or coursework in real estate. Familiarity with Multiple Listing Service (MLS) platforms, customer relationship management (CRM) software, and office productivity tools is typical. Excellent communication, attention to detail, and problem-solving abilities help you effectively support agents and clients throughout transactions. These skills ensure smooth operations, client satisfaction, and compliance with legal and industry standards in a competitive real estate market.

What is the difference between Assistant Realtor vs Real Estate Agent?

The roles differ mainly in independence and responsibilities within the real estate industry.

Job description

Description
Behind every top-producing agent is someone making sure nothing falls through the cracks.
Neill Bassi is one of San Francisco's top-producing luxury agents with Sotheby's International Realty, closing deals in the $5M to $20M range and already at $60M in closed volume this year.
Our team runs on systems and processes, not chaos, and we are looking for the person who keeps it all moving: prioritizing the right things at the right time, keeping everyone informed, and making sure Neill walks into every meeting on track and prepared.
This is the operational engine behind a rainmaker, working alongside our listing manager and taking direction as part of a true team effort. We attract serious clients and serious talent, and this is a seat for someone who wants to grow into an Operations Manager as the business scales.
We Know You
You aren't the kind of person to shy away from a challenge. Your organizational skills and ability to multitask are unmatched, and you prefer to own your work rather than be micromanaged through your daily tasks.
You are a polished professional who understands the importance of confidentiality and enjoys using your love of the written word to thoughtfully respond to communications from the agent, internal support staff, and clients.
You bring a high level of emotional maturity to your work; you are kind and caring, and you genuinely believe in showing up for your team. You are not watching the clock. You understand that some days call for all hands on deck, and you show up for the common goal ready to own your part.
Real Estate Assistants with prior experience in Operations, TC, or a similar role are encouraged to apply. If you are looking for a stepping-stone into sales, this is not the job for you.
The Details
  • Salary: $120,000 - $150,000 based on experience, plus opportunity for bonus
    Benefits: Paid vacation, 401(k)
Hours: Full-time, Monday through Friday, with flexibility on evenings and weekends required seasonally
Location: 2001 Lombard St, 94123 - in-office. You live within a 45-minute commute of San Francisco, CA, have daily access to a personal vehicle for work-related tasks, hold a valid driver's license, and carry insurance.

Candidates who contact us directly may be removed from consideration. We appreciate your enthusiasm, but please do not call or email. Please apply directly. If you seem like a good fit for the job, you'll hear from our recruiters about the next steps!
Responsibilities
Your Role
You will support the team at a high level. On any given day, you'll maintain impeccable listing coordination, liaising with title, escrow, lenders, and the TC. You'll create listing presentations and marketing materials, draft offers, collect signatures on various documents, keep track of invoicing, schedule photography and staging, run occasional business errands, manage showings, and provide clients with agent feedback.
You'll have your hands in every part of the business and play an integral role in keeping the transaction process running smoothly and delivering consistently impeccable service.
Qualifications
Required Experience and Qualifications
• 2+ years of experience serving as an administrator to a busy business in a fast-paced environment, or assisting a Real Estate Agent, office, or team
• A real estate license or real estate experience is preferred but not required for this position; a willingness to learn quickly is essential
Ideally, you are familiar with or can easily master:
• Microsoft Suite (Word, Excel, Teams)
• Real Estate Software: MLS, Dotloop, Zipforms, DocuSign, Dropbox
• Adobe InDesign
