Job description

Through its affiliated nationally licensed third-party administrator (TPA), Careington International also delivers full-scale administrative services, including customer service, licensed enrollment, claims administration, individual and group billing.

Careington is seeking a Communications RFP & Proposal Specialist to join its Corporate Communications team. This role supports RFP, RFI, RFQ, grant, and other proposal responses by collaborating with proposal managers and cross-functional stakeholders. The specialist will gather, organize, and refine content to ensure submissions are accurate, polished, strategically aligned, and delivered on time.

This hybrid role is based at our Gaylord Parkway location in Frisco, TX, with onsite work Monday–Wednesday and remote work Thursday–Friday.

The role will revert to fully onsite 5 days a week in Spring/Summer 2027.

Position Overview & Responsibilities: 
  • Coordinate and develop RFPs, RFIs, RFQs, grant applications and customized sales proposals.

  • Collaborate with cross-functional teams to distribute assignments, gather feedback, refine responses and compile supporting materials to meet critical deadlines.

  • Research, source and vet solicitations and grant opportunities that align with the company’s products, services and strategic goals.

  • Collaborate with public entities to complete grant applications and gather necessary information and documentation required for submissions.

  • Evaluate bid opportunities to determine feasibility with capabilities and products and services.

  • Translate technical concepts and business terminology into clear, compelling content and client-focused messaging.

  • Utilize RPF and proposal management software, Qvidian, to coordinate and complete responses to RFPs/RFQs/RFIs and sales proposals while maintaining updates to content repository.

  •  Review and finalize proposal documents to ensure compliance with submission guidelines, formatting requirements and deadlines.

  • Maintain and manage proposal tracking documentation to monitor submissions, outcomes and proposal metrics.

  • Proactively identify and register for any and all relevant RFP, RFI and bid opportunities through all available channels, including city, county, school district, and other local, state and federal sources.

  • Develop content for customized sales proposals to support prospective sales initiatives.

  • Assist with additional communications initiatives as needed, including PR awareness campaigns, award submissions, speaker proposals and other related projects.

  • Performance will be evaluated based on the accuracy, clarity, and completeness of proposal responses; adherence to deadlines; compliance with RFP and grant specifications and submission guidelines; and the overall quality, organization, and professionalism of proposal deliverables.

Qualifications & Requirements: 

Required

  • Bachelor’s degree in Marketing, Communications or related fields
  • Proficiency with Microsoft Office, including Word, Excel and PowerPoint

Preferred

  • Familiarity with Adobe Acrobat Pro
  • Understanding of health care benefits or insurance industry
  • Experience managing multiple projects simultaneously, keeping track of deadlines.
  • Familiarity with proposal management and RFP response software such as Qvidian or similar
  • Familiarity with all facets of proposal development lifecycle
