As an Assistant Project Manager supporting the Oracle account Project Management Office, you'll serve as the essential connector between Capital Planning, Facility Management, Client Engineering, Technical Service Sustainability Operations (TSSO), and Project Delivery teams. Your focus will be ensuring projects are fully prepared for seamless migration into execution. You'll drive project readiness, maintain governance excellence, and ensure systems accuracy while providing critical stakeholder visibility throughout the project lifecycle. This position plays a pivotal role in accelerating delivery timelines, improving data integrity, and elevating the overall client experience. We believe the most effective teams are built when everyone is empowered to thrive, and in this role, you'll empower cross-functional teams to work together more efficiently through proactive coordination, clear communication, and relentless attention to detail.
What your day-to-day will look like:
  • Act as the central liaison between Capital Planning, Facility Management, Engineering, TSSO, and Project Delivery teams to coordinate project migration readiness from planning phase into execution phase
  • Monitor and track the progress of business justification submissions and required approvals, maintaining visibility of pending decisions, aging actions, and approval timelines to align with planned migration schedules
  • Support visibility of the upcoming Statement of Work (SOW) pipeline by coordinating readiness milestones and assisting Project Managers with transition clarity for newly migrated projects
  • Maintain accurate project data within Adaptive Work and other required systems, ensuring milestone dates, ownership assignments, status updates, and forecast dates remain current through regular data quality reviews
  • Prepare portfolio health reports, dashboards, and executive summaries to support recurring client and internal governance meetings while monitoring project status compliance throughout the delivery lifecycle
  • Escalate blockers, delays, and missing dependencies that may impact migration timing, driving accountability across teams to ensure ownership, milestones, approvals, and documentation are complete before handoff
  • Identify recurring workflow inefficiencies and handoff gaps, recommending process enhancements, automation opportunities, and standardization measures that support PMO best practices and operating model maturity

Required qualifications:
  • 5+ years of experience in project coordination, PMO operations, project controls, or related roles within complex organizational environments
  • Strong proficiency with Excel, reporting tools, and data analysis, with demonstrated ability to translate data into actionable insights
  • Hands-on experience using project management systems such as Adaptive Work, Smartsheet, MS Project, or similar platforms
  • Exceptional organizational skills with meticulous attention to detail and proven ability to maintain accuracy across multiple workstreams
  • Demonstrated ability to coordinate multiple priorities simultaneously in fast-paced, deadline-driven environments
  • Strong verbal and written communication skills with the ability to articulate complex information clearly to diverse audiences
  • Proven track record of influencing and driving accountability across teams without direct authority, building collaborative relationships to achieve shared goals

Preferred qualifications:
  • Experience supporting real estate, facilities, construction, engineering, or capital programs with understanding of project lifecycle stages
  • Proficiency with Power BI, Tableau, or other business intelligence and analytics platforms
  • Process improvement mindset with strong problem-solving ability and experience implementing operational enhancements that drive measurable results

Estimated compensation for this position:
90,000.00 - 128,000.00 USD per year
This range is an estimate and actual compensation may differ. Final compensation packages are determined by various considerations including but not limited to candidate qualifications, location, market conditions, and internal considerations.
