JOB OVERVIEW: HR GENERALIST MULTI-STATE SHARED SERVICES

The HR Generalist – Multi‑State Shared Services supports day‑to‑day human resources operations across multiple states within a centralized HR shared services model. This role works closely with HR leadership, business leaders, and employees to help deliver consistent HR support, administer HR programs, and support compliance with federal and state employment laws.


The HR Generalist is responsible for a broader scope of HR activities, including employee relations support, benefits and leave administration, onboarding, compliance support, HR systems maintenance, and participation in HR projects. This role also supports HR cases and ongoing employee lifecycle activities with guidance from HR leadership and serves as a consistent HR resource for assigned employee groups.


This role is well‑suited for an HR professional looking to continue developing generalist skills while gaining exposure to multi‑state HR operations.


JOB RESPONSIBILITIES:

Employee Relations & HR Support:

  • Serve as an HR point of contact for managers and employees regarding HR policies, procedures, and routine employee relations questions
  • Support employee relations matters by assisting with intake, documentation, investigations, and corrective action processes under HR leadership guidance
  • Assist managers with performance management activities, including documentation and employee coaching support
  • Prepare and maintain accurate employee relations documentation
  • Escalate complex, sensitive, or high‑risk matters to HR leadership as appropriate
  • Maintain confidentiality and ensure consistent application of company policies
  • Track and support employee relations cases from intake through resolution, ensuring appropriate documentation and follow‑up


Multi‑State Compliance Support:

  • Support HR compliance efforts related to federal, state, and local employment laws across supported states
  • Assist with compliance activities such as I‑9 processing, personnel file audits, and record retention practices
  • Help track compliance updates and support implementation of policy or process changes
  • Partner with internal stakeholders to support consistent HR practices across locations
  • Apply existing HR policies and compliance processes to day‑to‑day employee situations with guidance as needed


HR Operations & Shared Services:

  • Respond to employee and manager requests through shared services channels such as HR inboxes or ticketing systems
  • Maintain accurate employee records in HRIS systems (ADP or similar platforms)
  • Assist with HR reporting, audits, data tracking, and metrics as requested
  • Support improvements to shared services workflows and documentation
  • Support assigned employee groups or functional areas within the shared services model


Benefits & Leave Administration:

  • Support administration of employee benefits programs, including enrollments, qualifying life events, and employee education
  • Assist with leave administration processes, including FMLA, ADA, and state‑specific leaves, by tracking documentation and timelines
  • Respond to routine benefits and leave inquiries and elevate complex issues as needed
  • Coordinate with benefits vendors and internal partners to resolve employee questions


Recruitment & Onboarding Support:

  • Support hiring and onboarding activities, including job postings, background checks, and new hire documentation
  • Assist with onboarding coordination and HR system setup
  • Partner with recruiters, hiring managers, and HR team members to support a positive onboarding experience


HR Projects & Developmental Opportunities:

  • Participate in HR projects such as policy updates, training coordination, compliance initiatives, and process improvements
  • Assist with implementation of new HR tools, systems, or workflows
  • Support HR communications and company‑wide HR programs as assigned


REQUIREMENTS & QUALIFICATIONS

Education

  • Bachelor’s degree in Human Resources, Business Administration, or a related field, or equivalent work experience


Experience

  • 3–5 years of experience in HR, employee relations support, or related HR operations roles
  • Experience supporting HR services across multiple locations or states preferred
  • Experience using HRIS platforms (ADP preferred or similar systems)


Skills and Abilities

  • Ability to travel 5-10%
  • Bilingual - English and Spanish
  • Foundational knowledge of federal and state employment laws and HR best practices
  • Strong organizational, documentation, and follow‑up skills
  • Ability to handle confidential information with discretion and professionalism
  • Effective written and verbal communication skills
  • Ability to manage multiple priorities in a fast‑paced environment
