Job Title: Assistant Project Manager – Construction

Job Description

The Assistant Project Manager supports the Construction Project Management team throughout the entire project life cycle, from preconstruction through closeout. This role coordinates project documentation, purchasing, scheduling, and communication between clients, field teams, and internal stakeholders. The Assistant Project Manager helps keep multiple construction projects on track by monitoring progress, managing escalations, and ensuring deliverables are completed accurately, on time, and within budget.

Responsibilities

  • Collaborate closely with Project Managers to establish clear project objectives, scope, and deliverables.
  • Manage project documentation, including permits, licenses, submittals, RFIs, work plans, change orders, certificates of insurance, W-9s, and other required records.
  • Coordinate purchasing of materials, subcontractor services, and equipment rentals to support project schedules and budgets.
  • Work with the superintendent to plan, organize, and direct construction activities to achieve project goals.
  • Review and maintain familiarity with plans, specifications, and scope of work to ensure accurate execution in the field.
  • Assist with bidding by creating construction estimates based on plans and material takeoffs.
  • Develop and maintain construction schedules with defined project deliverables and milestones.
  • Apply a strong understanding of code requirements and help drive compliance throughout the project.
  • Assist in selecting subcontractors and delegating responsibilities to ensure work is completed effectively.
  • Set up and maintain project tracking tools, including tracking site statuses, costs, and key performance indicators.
  • Provide direction and support to coordinators and field crews to keep work progressing smoothly.
  • Manage escalations from field installers and internal coordinators, resolving issues promptly to minimize delays.
  • Coordinate and manage installers, including check-ins and quality assurance for project deliverables.
  • Develop project-specific training documents and guidance for field crews to support consistent execution.
  • Monitor and report on project progress to Project Managers and executives using appropriate tools and reporting formats.
  • Track project reporting and deliverables, ensuring documentation is accurate, complete, and up to date.
  • Help manage and control expenses for each project to support budget adherence and profitability.
  • Ensure purchase orders and change orders are accurately prepared and provided to accounting in a timely manner.
  • Build and maintain strong client relationships through clear communication, responsiveness, and reliable follow-through.
  • Attend and assist with internal and external meetings, capturing action items and supporting follow-up activities.
  • Conduct pre-site calls to jobsites to confirm readiness, logistics, and expectations prior to mobilization.
  • Support other departments when needed to promote cross-functional collaboration and project success.
  • Be available to participate in an on-call rotation after normal working hours as needed to address urgent project issues.
  • Perform other duties as assigned to support the overall success of the construction department.

Essential Skills

  • Minimum 2+ years of experience in Construction Management, Project Management, or a closely related field.
  • Demonstrated knowledge of the construction field, with exposure to fixture installations and/or rollout work highly preferred.
  • Familiarity with contracts, blueprints, and related construction software applications.
  • Experience communicating with municipal building and inspections departments is preferred.
  • Strong problem-solving abilities with the capacity to prioritize tasks and focus on core deliverables to keep projects on track.
  • Excellent written and verbal communication skills for interacting with clients, field teams, and internal stakeholders.
  • Effective time management skills with the ability to manage multiple projects and deadlines simultaneously.
  • Process-oriented mindset with a focus on continuous improvement and forward-thinking solutions.
  • Proven ability to work as a team player while also acting as a self-starter who can work independently when needed.
