Job description

The Executive Administrative Assistant provides high-level administrative support to the Senior Vice President (SVP) of the TPA Division in MWG Administrators and will report to the Operations Manager. The position is an exempt, salary role and is located at 500 Steed Road Ridgeland, MS 39157.

GENERAL JOB DUTIES AND RESPONSIBILITIES:

The Executive Administative Assistant will assist the TPA Vice President and TPA Operations Manager with various administrative, clerical, and executive-level tasks. This role plays a key part in coordinating communicatio, supporting operational workflows, and ensuring priorities across the division are organizaed and executed efficiently.  To perform the job successfully, the employee must be able to perform each essential duty satisfactorily. The requirements listed here are representative of the knowledge, skill, and ability required.   • Provide direct administrative support to the SVP, including calendar management, meeting coordination, and travel arrangements
  • Partner with the Operations Manager on daily operational needs, ensuring alignment on priorities and follow-up items
  • Coordinate communication between leadership and departments to support the timely execution of initiatives
  • Prepare, format, and distribute reports, presentations, and internal/external communications
  • Assist the Operations Manager with tracking projects, deadlines, and departmental deliverables
  • Coordinate divisional meetings, leadership calls, and events, including agenda preparation and note-taking
  • Support operational reporting by gathering data and ensuring documentation is complete and distributed appropriately
  • Maintain organized records, files, and documentation for the division
  • Assist with scheduling and logistics for cross-functional initiatives and off-site meetings
  • Support expense tracking, invoice processing, and basic budget coordination
  • Handle sensitive and confidential information with discretion
  • Provide additional administrative and operational support to the leadership team as needed

EXPERIENCE AND EDUCATION REQUIREMENTS:

  • 3+ years of administrative or operations support experience
  • Experience working with senior leadership and/or operations teams preferred
  • Strong organizational and time management skills with the ability to manage multiple priorities
  • Excellent written and verbal communication skills
  • Proficiency in Microsoft Office Suite (Outlook, Excel, Word, PowerPoint)
  • High level of professionalism, discretion, and attention to detail
  • Preferred Qualifications:

    • Experience in a TPA, insurance, or healthcare environment
    • Exposure to project coordination, operations, or reporting functions

  • Must be able to perform in a very high paced environment and professionally handle interruptions.
  • Must have the ability to work under minimal supervision, while able to communicate and collaborate effectively.
