ASSISTANT OPERATIONS MANAGER
POSITION PROFILE:
The Assistant Operations Manager supports and oversees daily hotel operations across both Rooms and Engineering departments while providing support as needed for other departments. This role provides hands-on operational leadership while maintaining strong administrative oversight, team development, and guest service excellence. Working closely with the General Manager and department leaders, the Assistant Operations Manager ensures financial performance, service standards, brand expectations, and operational controls are consistently executed at a high level.

THE TASK AT HAND:
  • Oversight of all hotel operational functions, ensuring alignment with brand standards and company expectations.
  • Ensure compliance with operating controls, SOPs, policies, procedures, and service standards.
  • Lead service recovery efforts and resolve guest concerns promptly, professionally, and with sound judgment.
  • Respond to online guest reviews in a timely manner, following all communication standards.
  • Conduct daily inspections of guest rooms and public areas to maintain cleanliness, safety, maintenance, and styling standards.
  • Participate in daily and weekly property inspections and ensure timely completion of corrective action items.
  • Support scheduling, supervision, and coaching of Front Desk and operational team members.
  • Provide Front Desk coverage as needed to support business demands and maintain service continuity. This position will cover front desk shifts.
  • Assist with vendor management and procurement of operating supplies and equipment, following all processes for ordering and ensuring costs do not exceed budgeted guidelines
  • Participate in Safety Committee initiatives and actively promote a safe workplace culture.
  • Respond to audit findings and implement continuous improvement measures to strengthen operational performance.
  • Monitor guest online feedback and ensure service goals are met through action planning and training.
  • Conduct training and monitor employee performance, providing feedback and holding the teams accountable.
  • Assist with scheduling and co-facilitation of the monthly Front Desk meetings.
  • Ensure costs are managed to budgeted goals.
  • Conduct monthly inventories.
  • A flexible schedule is required, including holidays, evenings and weekends.

ENGINEERING:
  • Perform preventative maintenance repairs and inspections as mandated by local municipalities and/or requirements on systems such as: fire suppression and sprinkler systems, fire extinguishers, backflow prevention device testing and AC systems. Utilize and manage the Optii program.
  • Assist in handling requests for service calls, evaluate requests and respond as necessary.
  • Rapid response, of all emergency situations. Record and file reports as mandated.
  • Assist maintenance staff and other departments as needed, guide and train maintenance staff on proper repairs and servicing of equipment.
  • Report to the General Manager regarding opportunities for efficient use of energy, preventive maintenance, and/or other cost-savings measures.
  • Organize and keep the maintenance department clean, stocked with supplies and control of supplies. Order all needed supplies following the checkbook/budget processes. Inform the General Manager when supplies are needed and par levels are low to verify funds.
  • Ensure that work orders are complete and that the work that other maintenance employees have done has been done correctly. All information should be updated in Optii.
  • Communicate with the General Manager and other department heads regarding issues and concerns that needs to be addressed. Work to find solutions.
  • Perform daily inspections and walkthroughs of the entire property and note items that need to be addressed.
  • Participate in the Weekly Impact Checklist walkthroughs with the hotel General Manager. Handle all maintenance-related follow-up.
  • Help lead the property Safety Committee and follow the SOP for all required meetings and trainings.
  • Work around guests to ensure that they are satisfied and that their concerns and issues are taken care of in a timely manner.
  • Help coordinate quotes from vendors for various Capex projects or regular hotel projects and be prepared to lead projects as needed.
  • Other duties as assigned.

ADMIINISTRATVE TASKS:
  • Prepare and distribute weekly operational reports and actively participate in management meetings.
  • Manage online reservation systems and oversee guest communications to ensure accuracy and responsiveness.
  • Oversee payroll processing for hourly associates, including timecard approvals, tip reconciliation, and compliance review.
  • Manage comps, discounts, POS systems, ADP timekeeping, and tip logs in accordance with company standards.
  • Coordinate FOH meetings and ensure consistent team communication and alignment.
  • Review and distribute daily F&B correspondence (as needed) to ensure timely follow-up and accountability.
  • Assist with ordering operational supplies and maintaining appropriate inventory levels. Conduct monthly inventories.
  • Provide consistent leadership presence on property, holding teams accountable to operational standards and guest experience expectations.
