The Assistant Trucking Operations Manager reports directly to the Trucking Operations Manager and serves as a key operational leader within the trucking department. This position provides day-to-day support, backup coverage, and operational oversight to ensure the efficient execution of trucking, logistics, and fine art transportation services. The Assistant Manager works closely with project coordinators, drivers, art handlers, and clients to maintain operational excellence while supporting the continued growth of the department.

Location: Clifton, New Jersey 

Work Schedule: Schedule fluctuates based on workloads during weekdays with afterhours / weekend work as needed

Key Responsibilities: 

  • Prepare, review, and verify Bills of Lading, shipping labels, manifests, and other transportation documentation to ensure accuracy and compliance.
  • Communicate with project coordinators, clients, and field personnel regarding schedules, service timelines, delivery status, and operational updates.
  • Monitor active routes and deliveries, proactively identifying and resolving scheduling conflicts, delays, and other operational challenges.
  • Provide direct support to Art Handler/Drivers by communicating job requirements, monitoring progress, troubleshooting field issues, and facilitating operational coordination.
  • Conduct pre-route briefings and post-route debriefings to ensure field personnel are prepared for assignments and operational objectives are met.
  • Research job locations, building access requirements, parking and loading conditions, and object-specific handling considerations to support successful project execution.
  • Ensure all relevant job information, handling instructions, and logistical requirements are clearly communicated to field personnel.
  • Prepare daily warehouse pick lists and verify that all property scheduled for transport is properly identified, labeled, documented, and accounted for prior to departure.
  • Monitor vehicle inspections and coordinate preventative maintenance, repairs, and service schedules to maintain fleet readiness.
  • Manage operational supply inventories and ensure vehicles, equipment, and materials are available and prepared for daily operations.
  • Administer the company's telematics and GPS tracking platforms, maintaining visibility of fleet activity and performance.
  • Maintain records and documentation within proprietary logistics software, ensuring data accuracy and operational compliance.
  • Manage digital file archives, condition report photography, and transportation records.
  • Assist with operational reporting, workflow analysis, and continuous process improvement initiatives to enhance efficiency and service quality.
  • Support additional trucking, warehouse, and logistics operations as assigned.


Qualifications: 

  • Experience in trucking, transportation, logistics, dispatching, operations management, or a related field.
  • Demonstrated knowledge of professional art handling standards, techniques, and best practices.
  • Strong organizational skills with the ability to manage multiple priorities in a fast-paced environment.
  • Exceptional attention to detail and the ability to exercise sound judgment when making operational decisions.
  • Ability to effectively coordinate schedules, resources, personnel, and transportation activities.
  • Experience with fleet management, dispatch software, telematics platforms, and related operational systems preferred.
  • Previous supervisory, team lead, or workforce coordination experience preferred.
  • Experience in fine art logistics, specialized transportation, warehousing, moving services, or related industries highly desirable.
  • Strong communication and problem-solving skills with the ability to collaborate effectively across departments and with field personnel.
