The Administrative Assistant – Medical assists in day-to-day administrative operations of the office of the Chief Medical Officer (CMO), Director of Clinical Services, Integrated Behavioral Health and Ryan White. The Administrative Assistant - Medical is responsible for coordinated and effective communications, meetings and events, planning and development of clinical departments.
THIS POSITION OFFERS A 40-HOUR WORKWEEK, NO WEEKENDS, FULL BENEFITS PACKAGE, 12 PAID HOLIDAYS, BI-WEEKLY PAY.
Essential Tasks
- Coordinates functions within the clinical department and among other departments within the organization, enhancing organizational efficiency and effectiveness.
- Prepares correspondence and other documents for approval and distribution.
- Receives and organizes requests for leave that require Chief Medical Officer approval.
- Receives and organizes purchase orders and other documents that require Chief Medical Officer review and/or approval; including clinical audit reports.
- Supports the Chief Medical Officer by organizing and preparing agenda items for monthly meetings; preparing minutes and other supporting materials.
- Monitors clinical policies and procedures for review and revision.
- Monitors clinical position descriptions for review and revision.
- Coordinates annual performance reviews for the Chief Medical Officer.
Experience and Education
- High school diploma or GED.
- Minimum five years of administrative assistant experience.
- Effective organizational skills, interpersonal and communication skills.
- Intermediate level experience with MS Word, MS Excel, and MS PowerPoint.
- Must have the ability to maintain confidentiality.
- Must be detail oriented.
- Must have the ability to multi-task.
