Job description

USA Foundation Repair is seeking a detail-oriented, multi-tasked Project Administrator to join our team. As a Project Administrator, you will play a crucial role in supporting our office operations in the foundation department and ensuring smooth administrative processes. The ideal candidate will thrive in a fast-paced environment, possess excellent organizational skills, and be able to multitask effectively.

Answer multi-line phones, transfer calls, schedule, and confirm appointments. Maintain a job projects calendar, schedule jobs, job costing, material inventory, and have payroll experience. Attention to detail is a must.

Compensation:

$25 hourly


Responsibilities:

  • Job costing and project scheduling

  • Fleet vehicle and trailer maintenance logs

  • Trailer inventory and take-off list

  • Customer relations

  • Payroll hours and logs of crews

  • CRM experience (Marketsharp, Company Cam, Leap)

  • Spreadsheets

  • Greet and assist all incoming customers with professionalism and courtesy

  • Strong customer service skills in dealing with customers

  • Answer and manage incoming calls, directing them to the appropriate personnel

  • Schedule and confirm appointments, and maintain an organized appointment calendar

  • Support other departments as needed with various tasks

  • Perform administrative office duties, including filing, data entry, maintaining records, creating spreadsheet reports, and inputting payroll

  • Keep up with product supply in the shop and warehouse

  • Communicate with the foreman and the sales team regarding appointments and calendars


Qualifications:

  • Prior experience in an office setting or related field is advantageous

  • Proficiency in computerized systems for data entry is essential

  • Strong organizational skills with meticulous attention to detail are required

  • Experience as an office manager or administrator is a plus

  • Bilingual proficiency is preferred, but not needed
