The Rooms Inventory Manager is a key team member responsible for the coordination and oversight of all facets of guest room reservation operations, functioning as the central hub between all departments including Revenue Management, Sales, Marketing, Front Office, Central Reservations, and Finance.


Fundamental Requirements:

  • Be completely competent in all PMS functions used by Front Office and Reservations
  • Be knowledgeable about the uses and functions of Delphi FDC, SynXis CRS, OTA Extranets, and other systems as it pertains to room reservations, room inventory management, and distribution
  • Process all group turnovers as they pertain to room blocks including validating proper configuration, room type blocking, suite assignments, concessions, booking links, etc.
  • Monitor and manage group cutoff dates, block inventory, and pickup on a daily basis
  • Communicate rooming list needs with central reservations and ensure alignment of date expectations for cutoffs and data entry
  • Effectively communicate group reservation needs with clients, central reservations, and fellow associates to ensure accuracy
  • Attend pre-con meetings as needed
  • Communicate availability and closeouts to wholesalers
  • Comply with hotel policies on billing, routing, master accounts, A/R accounts, and PM accounts
  • Follow and enforce all hotel credit policies
  • Be knowledgeable of property information (outlets, hours of operation, etc.) and assist in updating booking channels as necessary
  • Ensure timely processing of travel agent commissions
  • Control suite inventory
  • Control “hold” reservations
  • Ensure that the operational forecast is completed on a timely basis
  • Maintain a professional working relationship and promote open lines of communication with managers, employees, and other departments
  • Know the hotel’s rate quoting standards
  • Understand and follow revenue strategy restrictions
  • Be familiar with all corporate-sponsored programs such as airline mileage and VIP programs and the standards and procedures for each

Education & Experience: 

  • Minimum two years of hotel experience, preferably in a supervisory role, in a related hotel department (Reservations, Front Office, Rooms Control)
  • A 4-year college degree
  • Proficient in Microsoft 365/Office, Opera PMS, SynXis CRS, Pegasus CRS, OTA Extranets, Delphi FDC, Onyx

Physical requirements:

  • Flexible and long hours sometimes required
  • Computer/Desk work for extended periods
  • Light work: exerting up to 20 pounds of force occasionally, and/or up to 10 pounds of force frequently or constantly to lift, carry, push, pull or otherwise move objects

  • Must be effective in handling problems, including anticipating, preventing, identifying, and solving programs as necessary
