Administrative Assistant I/II– Human Resources

Location: Juneau

Exemption Status: Non-Exempt

Pay Grade(s): 7/8 ($25.26 - $36.27 DOE)

Purpose:

The Human Resources (HR) Administrative Assistant will assist in the administration and coordination of functions supporting the HR Department, including Recruitment, Learning & Development, Benefits, Employee Support, and other administrative support functions. This position will have oversight of day-to-day administrative duties relevant within the scope of the role, working collaboratively to ensure there is continued support from the HR Department throughout the Tribe.


Essential Functions. An individual in this role must be able to perform the following functions with or without reasonable accommodation:

  • Maintain updates in designated HRIS platform; communicate updates consistently and timely. Collaborate with relevant stakeholders to ensure support needs are being met.
  • Ensure all employee related documentation is placed appropriately in personnel files, maintaining the integrity of the documentation and confidentiality of information provided.
  • Provide real time support to Learning & Development for live trainings provided periodically throughout the year.
  • Update related HR systems related to programs, learning & development, benefits, or other designated departmental resources as requested.
  • Partner with key stakeholders to develop relevant and efficient documentation for processes related to the HR Department and employee related situations.
  • Assist in the development, updates, and implementation of relevant user guides and manuals; distribute to appropriate parties throughout the Tribe.
  • Primary travel coordinator for all Human Resources employees, utilizing Easy Biz and other related programs specific to Tribal processes.
  • Oversight of supply ordering, ensuring all procurement procedures are followed when applicable.
  • Reconcile Divvy cards for assigned employees. Appropriately code and process invoices through Stampli in a timely manner, ensuring fund codes are properly assigned to relevant expenses.
  • Provide support to HR positions as requested and designated to do.
  • Respond to employee inquiries in a timely manner; provide primary support by routing of communications in centralized Human Resources Inbox.
  • Occasional travel will be required for this role.

Minimum Qualifications (education, experience, skills): ADMINISTRATIVE ASSISTANT I

  • High School Diploma or GED
  • Three (3) years of related experience
  • Valid Driver’s License required for some departments

ADMINISTRATIVE ASSISTANT II

  • High School Diploma or GED
  • Five (5) years of related experience
  • Valid Driver’s License required for some departments
