Department: Administration Reports To: Office Manager / Controller Location: Bozarth Chevrolet
Position Summary
Bozarth Chevrolet is seeking a detail-oriented and organized Automotive File Clerk to join our administrative team. This position is responsible for maintaining accurate dealership records, organizing vehicle deal jackets, filing documents, scanning paperwork into our document management system, and ensuring compliance with dealership and manufacturer recordkeeping requirements. The ideal candidate thrives in a fast-paced environment, has excellent organizational skills, and takes pride in maintaining accuracy and efficiency.


Key Responsibilities
Organize, file, and maintain vehicle deal jackets and service records.
Scan and electronically archive dealership documents using the dealership's Document Management system.
Ensure all paperwork is complete, accurate, and properly indexed.
Retrieve files and documents as requested by management and dealership departments.
Maintain filing systems for sales, service, accounting, and title documents.
Verify completed deal jackets contain all required documentation before filing.
Assist with document retention and destruction according to dealership policies and legal requirements.
Prepare files for audits and manufacturer reviews.
Sort, distribute, and process incoming paperwork from various departments.
Assist with daily office administrative duties as needed.
Maintain confidentiality of customer and dealership information.
Communicate effectively with Sales, Finance, Service, and Accounting departments to resolve missing or incomplete documentation.
Keep filing areas clean, organized, and secure.


Qualifications
High school diploma or equivalent required.
Previous office, administrative, or filing experience preferred.
Automotive dealership experience is a plus but not required.
Strong organizational and time management skills.
Excellent attention to detail and accuracy.
Basic computer proficiency, including Google Suite and dealership management software.
