Strategic Assistant to the Executive Team Job Description

We are seeking an experienced and highly organized C‑Suite Executive Assistant to support a C‑Suite Executive. Reporting directly to one of our C‑Suite Executives, this role will provide administrative and strategic support ensuring smooth day‑to‑day operations while proactively managing priorities. The ideal candidate will be an autonomous, resourceful, detail‑oriented, professional individual capable of handling confidential information with discretion and performing at the highest level in a fast‑paced environment.

What You’ll Do
  • Provide comprehensive administrative and operational support to C‑Suite Executive
  • Email Management: Manage, intercept, and delegate emails, ensuring timely responses and prioritization.
  • Practifi (CRM) Attachments: Handle Practifi system tasks related to notices, emails, correspondence, etc.
  • Phone Management: Manage incoming calls, prioritizing and handling them appropriately.
  • Scheduling: Organize and coordinate meetings, one‑on‑ones with employees, and internal reviews.
  • Provide high‑level administrative support while maintaining utmost confidentiality, proactively anticipating needs, and fostering a highly responsive relationship in a fast‑paced and dynamic environment.
  • Serve as a reliable point of contact between all C‑Suite Executives and their teams.
  • Maintain confidentiality and handle sensitive information by exercising discretion and independent judgement.
  • Proactively identify opportunities to optimize workflows and improve efficiency.
  • Prioritize and manage multiple tasks with minimal supervision.
  • Project coordination and responsibility for execution of Excel‑based projects.
  • Coordination of internal and external resources for inclusion of investment related information in the firm newsletter, as needed.
  • Assist with special projects and initiatives as assigned.
What You Bring
  • Proven experience as a C‑Suite Executive Assistant or in a similar high‑level administrative role.
  • Exceptional organizational and multitasking abilities.
  • Strong written and verbal communication skills.
  • Proficiency in email management systems, scheduling tools, and Microsoft Office Suite.
  • Ability to manage confidential information with the utmost professionalism.
  • Adept at working independently and collaboratively in a fast‑paced environment.
  • Experience coordinating events and managing projects is highly desirable.
  • Four‑year degree (preferably with a focus in business and/or finance)
  • Masters degree in business and/or finance (preferred)
  • Proactive problem‑solver with a high level of initiative.
  • Flexible and adaptable to shifting priorities.
  • Detail‑oriented with excellent time‑management skills.
