Job description

Position Summary:

The Logistics Manager/Dispatcher is responsible for the efficient scheduling, routing and coordination of drivers, tent installers and delivery teams.  This role ensures timely and accurate deliveries and pickups, while maintaining high standards of communication, customer service and operational efficiency.

Key Responsibilities

  • Print all delivery, pickup, will-call and pre-pulling paperwork. 
  • Develop and manage daily delivery and installation schedules for drivers and tent crews.
  • Create optimized delivery routes based on geography, event timing, crew availability and equipment needs.
  • Communicate job assignments and load details clearly to drivers and installers.
  • Supervise the safe loading and unloading of trucks ensuring items are packed securely to prevent damage and sign off as the final check.
  • Coordinate closely with Sales, the Warehouse and Operations teams to ensure smooth execution of company needs.
  • Monitor delivery progress via GPS software, troubleshoot delays or issues in real time and adjust routing as needed.  
  • Maintain detailed records of route performance, crew time logs and equipment movement.
  • Ensure all DOT and company compliance standards are met regarding fleet operation and driver hours.
  • Maintain inventory control of tools and supplies in vehicles.
  • Ensure that vehicles are maintained in a safe condition for operation by working with drivers and collecting safety inspection /safety checklists on vehicles. Maintain vehicle maintenance log.
  • Act as the central point of contact for all logistics-related questions during event setup and breakdown.
  • Assist with inventory tracking and load planning for large or complex events.
  • Collect all relevant expense receipts from drivers and for company vehicles.
  • Maintain personnel records.  Responsible for hiring, write-ups, and termination of drivers.

Qualifications

  • Proven experience in logistics, dispatching or fleet management, preferably in the event rental or construction industries.
  • Strong organizational and multitasking skills with a focus on accuracy and time management.
  • Excellent verbal and written communication skills.
  • Proficiency in dispatching software, routing tools and Point of Rental Software.
  • Ability to work flexible hours, including early mornings, evenings and weekends during peak season.
  • Familiarity with tent installations, event logistics or large-scale rental operations is a plus.
  • Valid driver’s license required.  Must have current DOT certification and CDL is a plus.
