Job description

Position Title: Mailroom Equipment Operator & Mail Clerk
Type: 3-Month Contract (Temp-to-Hire)
Location: Boston, MA 02108
 

Position Overview:

We are seeking a reliable and detail-oriented Mailroom Equipment Operator & Mail Clerk to support day-to-day mailing and print operations in a fast-paced, deadline-driven environment. This role involves operating mailing equipment, managing logs, processing mail, and maintaining quality control.

The successful candidate will receive full training and will play a key role in ensuring accurate and timely mail handling for customer agencies.


Key Responsibilities:Mail Equipment Operation & Maintenance
  • Operate various mailing machines, including inserters and sorters, and perform basic preventative maintenance (cleaning, refilling water, using compressed air).

  • Manually record machine counts and maintain production logs after each job (logs are currently handwritten).

  • Maintain a clean and organized work area and report low supplies (e.g., bins, envelopes) to the supervisor.

Mail Processing & Distribution
  • Process and distribute mail for multiple agencies, including pickup of mail bins and operating postage meters.

  • Handle specialized mail jobs requiring unique sizes, shapes, or special processing.

  • Ensure all mailing deadlines are consistently met (daily, weekly, monthly).

Quality Control & Compliance
  • Follow QA/QC procedures to ensure accuracy and high service levels (e.g., reviewing cover sheets for job requirements such as simplex/duplex printing).

  • Receive specialized training for high-security jobs (e.g., Department of Revenue projects).

  • Understand and comply with all security and operational standards.

Clerical & Supervisory Support
  • Assist with mailroom inventory management and supply monitoring.

  • Take initiative to manage workflow and organize jobs, especially in the supervisor's absence.

  • Collaborate with team members and support customer inquiries regarding job status.


Work Environment:
  • Schedule: Monday to Friday, 7:00 AM – 3:00 PM

  • Physical Requirements: Ability to stand for extended periods, lift or push/pull up to 50 lbs.

  • Environment: Noisy machine room with printing and mailing equipment operating on two floors. Noise-canceling or music headphones are permitted.
