As a member of the Employee Experience & Internal Events team, you will support the planning and execution of meetings and experiences across North America while partnering on global initiatives. The role partners closely with Human Capital, Marketing, Executive Assistants, Corporate Communications, Finance, IT, and senior business leaders across the firm's global platform. From leadership offsites and training programs to acquisition integration events, and firmwide meetings, this role will assist in the execution of many of the firm's most visible internal events and help deliver world-class employee experiences across the firm.

Responsibilities

Event Planning & Execution: Support the end-to-end planning and onsite execution of leadership meetings, training programs, acquisition welcome events, integration events, offsites, conferences, and employee engagement initiatives.

  • Research potential venues, make recommendations and create corresponding event budget estimates

  • Review venue contracts and oversee deposits and payments as stipulated

  • Oversee program of events to enhance utilization and flow of group meeting space

  • Determine, coordinate, and execute all Event Orders (EOs), AV requirements, staging, equipment, and furniture rentals, etc.

  • Create save-the-dates, invitations, event reminders, event web pages, and other event collateral

  • Compile and review all bills, applicable cancellation/attrition charges, concessions, etc., to maximize group budget goals. Reconcile and process invoices with accounting department

Project Management: Develop and maintain project timelines, budgets, registration processes, production schedules, and detailed event workbacks while ensuring deadlines are met.

Vendor & Venue Management: Coordinate with hotels and Convention Services Managers, (CSMs), venues, Destination Management Companies (DMCs), transportation providers, AV teams, production partners, and other vendors to deliver seamless event experiences.

Attendee Experience: Manage registration, communications, travel coordination, rooming lists, event materials, gifts, mobile event platforms, and onsite hospitality to create an exceptional participant experience. Obtain feedback on all events and effectuate changes in future events to address any issues.

Cross-Functional Collaboration: Partner with Human Capital, Executive Assistants, Finance, IT, Corporate Communications, Marketing, and business leaders to ensure alignment across all event deliverables.

Operational Excellence: Maintain event documentation, budgets, reconciliation, reporting, standard operating procedures, and post-event evaluations while identifying opportunities to improve future programs.

Global Partnership: Collaborate with colleagues across the Americas, EMEA and APAC to support global employee programs and ensure consistency in the firm's event experience.

Basic Qualifications
  • 2-5 years of experience planning corporate events, including sourcing, implementation, and execution

  • Detailed knowledge of venue contracts, BEOs and vendor relationships

  • Excellent written and verbal communication skills; proven ability to interact professionally with colleagues at every level of the organization

  • Operate with a hospitality mindset; always focused on the client experience

  • Microsoft Office; Excel and PowerPoint, adept at learning event technology platforms, i.e., registration systems, project management tools, and mobile event applications

Preferred Qualifications
  • Internal events experience is preferred, not required.

  • Experience supporting executive-level clients

  • Excellent organizational and project management skills

  • Ability to identify areas for improvement and make corresponding recommendations for updates or change

  • Remain focused and calm under pressure, think critically, and confidently adapt when priorities shift or unexpected challenges arise

The firm's good faith and reasonable estimate of the possible salary range for this role at the time of posting is:

$80,000 - $100,000

Actual salary at the time of hire may vary and may be above or below the range based on various factors, including, but not limited to, the candidate's relevant qualifications, skills, and experience and the location where this position may be filled.
