Job Description:

Theย Food & Beverage Operationsย Supervisorย is responsible forย assistingย withย theย daily activities and administrative functionsย for the Senior Food & Beverage Operations Manager andย ultimately allย theย Food and Beverageย managersย of the department.ย 

PRIMARY RESPONSIBILITIESย 

  • Handle all reservations/calls from 10:00 AM โ€“ 3:00 PM for allย F&Bย outletsย and route outlet calls toย individualย phoneย line.ย 

  • Handle any F&B-related email correspondence.ย ย ย 

  • Takes messages, handles customerย requestsย andย communicatesย requests toย appropriate departments.ย 

  • Performs daily office duties including, but not limited to, filing, faxing, copying, creation of files, gift certificates, retrieving and delivering mail, and creating and delivering amenity requestsย with cards to Star Services.ย 

  • Ensure that any VIP reservations are entered into the PMS/SevenRoomsย and coordinate amenity and cardย as needed.ย ย ย 

  • Executionย andย developmentย of F&Bย marketingย initiatives.ย 

  • Respondย in a timely mannerย toย Medaliaย reviews, communicating closely with the culinary and F&B management team.ย ย 

  • Assembling of theย departmentsย Event Calendar and Brand Calendar.ย 

  • Updatingย ofย โ€œoutletโ€ website using the designated platform as needed.ย 

  • Handle all small reservations by sending out contracts, menus, etc., andย communicateย via EOsย with F&B management and culinary team.ย ย ย 

  • Assistย with amenities/in-house and outside payment.ย ย 

  • Assistย in execution and attend buyouts, functions, and designated parties to provide support, ensure guest satisfaction, and promote future business.ย 

  • Coordinate operations between departments.ย 

  • Participate, typing,ย and distribution of meeting minutes for allย F&Bย meetings.ย ย 

  • Preparesย and distributes all correspondence, including letters, emails, etc. forย DOF&Bย or other managers as needed.ย Ensures that all correspondence is 100%ย accurate.ย 

  • Schedules and prioritizes workloadย for the DOF&B.ย 

  • Generate the Weeklyย F&Bย Activity Reportย 

  • Take over the payroll process for culinary and F&B outlets toย submitย on Mondays.ย 

  • Maintain communicationย regardingย the payroll process with the F&B and culinary management team.ย ย 

  • Distribute monthlyย forecast.ย 

  • Ability to generate 30-60-90 dayย forecastย as needed by Director ofย Foodย &ย Beverage.ย 

  • Maintain Reference Library, association memberships, trade show information,ย &ย mailing lists.ย 

  • Works with the IT Manager to create necessary reporting for DOF&B.ย ย 

  • Develop andย maintainย productive, service focused working relationships with external and internal customers,ย representingย the company and becoming a known point of contact.ย 

  • Work as a team, helping all departments to complete the required activities orย projects that ensure we achieve successful events or outcomes reflecting the brand.ย 

  • Provideย accurate, up to date information toย appropriate internalย contacts, responding to requestsย in a timely manner, andย maintainingย a working knowledge of the hotelโ€™sย products and services.ย 

  • Continually audit and review office management and administration systems, implementing improvements where necessary and keeping the office appropriately stocked with supplies.ย 

  • Provide support whenย Director ofย Foodย andย Beverageย and/or other administrative support personnel areย out of the hotel.ย ย 

  • Occasionallyย assistsย with supervising the opening of the Sessions Restaurant to alleviate the schedule of F&B management.ย ย 

  • Perform daily and weekly tasks as outlined by the Director ofย Foodย andย Beverage.ย ย ย 

  • Have a personal impact, taking responsibility and using initiative to resolve issues.ย 

  • Approach tasks orderly, with tenacity and determination, completing work to the required standard within the deadlines agreed.ย

  • Computer support: Word processing, spreadsheets, databases,ย e-mail,ย and Windowsย applications โ€“ PowerPoint for DOF&Bย andย F&Bย Team.ย ย 

  • The ability to effectively execute/maintainย site tours as needed and inquiry callsย 

  • Checks email daily andย distributesย potentialย F&Bย issuesย toย theย responsible manager.ย ย 

  • Knowledge of Hard Rock Hotel Newย Yorkย food and beverage operations.ย 

  • Assistsย inย organizingย F&B eventsย and sendingย collateralย to customers, clients, and staff.ย 

  • Assistsย otherย F&Bย Managers as needed, or as business levels require.ย ย ย ย 

  • Collating and copyingย informationalย andย F&Bย marketing packets for meetings; mailing as requested.ย 

  • Ensure all siteย F&Bย inspections and client visits to the hotel are successful by detail planning and communicatingย accurateย details in advance to all departments.ย

REQUIREMENTSย 

EXPERIENCE, EDUCATION,ย AND CERTIFICATIONSย 

  • High school diploma or equivalent experience and training, college degree preferred.ย 

  • Two years' experience, preferably in the hospitality industry orย aย marketingย / sales field.ย 

  • Experienceย withย CRM platforms.ย 

  • Expertiseย inย socialย mediaย platforms.ย 

  • Backgroundย inย musicย industryย aย plus.ย 

SKILLSย 

  • Presentation of a professional image to guests, clients, and potential function coordinators.ย 

  • Composure during stressful events.ย 

  • Possession of a take charge attitude tempered with diplomacy.ย 

  • Ability to work independently while ensuring that managers and/or clientsย possessย the pertinent information for the execution of a successful event.ย 

  • Mustย possessย strong communicationย and listening skills, excellentย readingย andย writing.ย 

  • Comprehend professional language, either written or spoken, to communicate.ย 

  • Ability to effectively present information in one-on-one and small group situations to other employees of the organization.ย 

  • Multiple language abilities a plus, fluency in Englishย required.ย
