The Technology Operations Coordinator supports the Technology Services Division (TSD) by serving as a central liaison between business units, technical teams, vendors, and leadership. This hybrid role blends business analysis, application support, and administrative operations, ensuring smooth communication, reliable follow-up, accurate documentation, and timely execution of high-priority tasks.
The coordinator will play a critical role in supporting mission-critical applications (such as WAM and CC&B), assisting with hardware lifecycle activities, as needed, and managing operational and administrative processes that help the division deliver high-quality technology services.
This contractor position requires punctuality, strong attention to detail, excellent organization, and the ability to meet multiple high-priority deadlines.
Key Responsibilities
Operational Coordination & Business Analysis
Serve as a liaison between technical and non-technical teams, ensuring clear communication and alignment with business outcomes.
Coordinate and track competing priorities across interdisciplinary teams, ensuring timely completion of assignments and action items.
Gather business needs from WSD units and translate them into clear, actionable requirements for technical teams.
Prepare business cases, requirements documentation, user stories, workflows, and executive summaries.
Support TSD governance activities by assisting with documentation review and adherence to IT audit and compliance requirements.
Maintain structured cadences of updates through status meetings, progress reports, and stakeholder communication.
Application & Technology Support
Provide operational support for WSD applications such as WAM, CC&B, and other critical systems in coordination with TSD Applications and Infrastructure teams.
Assist with hardware management tasks (intake, tagging, imaging coordination, inventory updates, and deployment scheduling), as needed.
Collaborate with TSD team members on technology lifecycle activities as needed.
Administrative & Operational Support
Coordinate calendars, meetings, and logistics for TSD leadership.
Generate, submit, and track purchase orders, payment requests, and procurement documentation.
Maintain organized documentation control, review policies, and assist in the development of procedures.
Support inventory processes, records management, SharePoint content updates, and division coordination duties.
Provide operational support across governance, applications, and hardware teams as needed.
Budget & Procurement Support
Perform SAP/SRM budget review, shopping cart creation, purchase tracking, and fiscal coordination.
Work closely with TSD leadership and the budget team to ensure accuracy of expenditures and adherence to procurement requirements.
Assist with contract coordination and vendor documentation as required.
Required Qualifications
Reliable attendance and strict punctuality (this is a fully in-office role).
Strong background in business analysis, operations, technology coordination, or administrative support within a municipal, enterprise, or utility environment.
Demonstrated ability to manage multiple priorities in a fast-paced environment.
Excellent follow-up skills and attention to detail, with proactive issue tracking.
Exceptional written, verbal, and interpersonal communication skills.
Strong organizational skills and the ability to stay ahead of deadlines.
Proficiency with Microsoft Office (Word, Excel, PowerPoint).
Experience working directly with technical teams and translating business needs.
Preferred Qualifications
Experience with SAP/SRM, especially shopping carts, budget oversight, and purchase order processing.
Familiarity with WSD operations or other utility or municipal workflows.
Understanding of IT governance, audit practices, or compliance procedures.
Experience supporting enterprise applications (WAM, CC&B, GIS, billing systems, etc.).
Knowledge of procurement workflows, contract coordination, and policy development.
Strong problem-solving skills and the ability to work independently with minimal supervision.
Ability to work collaboratively with diverse teams and build strong relationships across the division.
Ideal Candidate
The ideal Technology Operations Coordinator is:
Highly organized and dependable
Detail-oriented with excellent follow-up
Comfortable managing multiple high-priority deadlines
