Description

Blessed Trinity Angel in Arms Day Care Center seeks an experienced administrative assistant and receptionist. The ideal candidate supports the mission of the Blessed Trinity Catholic Church and school, welcomes our families and visitors while providing outstanding support to the administration staff. This role requires a person with excellent interpersonal skills who relates well with people. Good communication skills are essential - verbal, written, electronic.

ESSENTIAL DUTIES AND RESPONSIBILITIES 

The following duties and functions, as outlined herein, are intended to be representative of the type of tasks performed within this classification. They are not listed in any order of importance. Other duties may be required and assigned.

  • Serves as primary administrative and communications support to the administrative team.
  • Serves as a receptionist to include, greeting families and their children, visitors and staff, providing them information and assistance both via phone and in person. Phone etiquette is a must.
  • Performs clerical tasks to support Center office operations, including processing mail, emails, maintaining and organizing files, creating fliers, organizing events, preparing daily/weekly/monthly reports for the Early Learning Coalition, state, and food program. 
  • General office duties as assigned, including writing receipts, data entry, and covering breaks as needed.
  • Performs secretarial duties for assigned department leader with minimal direction; may provide support for other departments as needed.
  • Produces information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics.
  • Attends required meetings and gatherings.

REQUIREMENTS 

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required. 

EDUCATION and/or EXPERIENCE

  • High school diploma or equivalent.
  • At least three years' experience performing administrative and executive support duties.
  • Highly communicative, with excellent verbal and written communication skills; ability to speak Spanish a plus.
  • Checks mail, e-mail, phone messages, etc., communicating information in a timely manner to appropriate persons.
  • Efficient and effective organizational and multi-tasking skills.
  • Team player, with experience in co-work roles as necessary to support school operations.
  • Ability to maintain a strict level of confidentiality.
  • Proficient and confident computer user, including MS Office products (Outlook, Word, Excel, and Publisher). 
  • Knowledge of the FACTS Management System is a plus.
  • Must conduct themselves in a manner that is consistent with and supportive of the mission and purpose of the Catholic Church. 
  • Public behavior must not violate the faith, morals or laws of the Church or the policies of the diocese.
  • Earn 45 hours of DCF training within one year of employment.
  • Ability to pass Diocese of Orlando background check and safe environment training as well as the background check for the Department of Children and Families.
