Job description

Noorda College of Osteopathic Medicine is seeking an Administrative Assistant for Academic Success to provide administrative, operational and program support for the Academic Success department. The position helps create a welcoming, student-centered environment while supporting departmental operations, student success initiatives, data management, and team projects. The ideal candidate is organized, proactive, collaborative, and committed to creating a positive, student-centered experience, and helping students and colleagues succeed.
What You'll Do
  • Serve as a first point of contact for students visiting the Academic Success and Academic Affairs office while helping maintain a welcoming and professional office environment.
  • Assist with check-in for student appointments and connect students to other departments as needed for appropriate support.
  • Support Academic Success projects and initiatives and assist with the development and maintenance of resources.
  • Maintain departmental data in institutional databases and monitor the department inbox.
  • Prepare meeting materials, take meeting notes, track action items, coordinate travel and professional development logistics and support hiring and recruitment activities.
  • Assist with purchasing, invoices, supplies, room reservation, and other operational needs.

Required Qualifications
  • Associates degree or an equivalent combination of relevant education and experience.
  • Two to five years of administrative experience.
  • Strong organization, scheduling, prioritization, communication, and follow-through skills.
  • Proficiency with Microsoft 365 applications, including Word, Excel, PowerPoint, Outlook, Teams, Forms, and OneNote.
  • Demonstrated initiative in being proactive, anticipating needs, and implementing effective action steps.
  • Ability to work independently and collaboratively, adapt to changing priorities, effectively handle frequent interruptions, and maintain accuracy while managing multiple deadlines.
  • High level of professionalism, integrity, discretion, sound judgement, and ability to maintain confidentiality.

Preferred Qualifications
  • Bachelor's degree.
  • Experience supporting a department, program, or team.
  • Experience in higher education or medical education.
  • Smartsheet experience.
