Job description

We are seeking a professional, client-focused Front-Facing Notary Closer to join our fast-paced title and settlement office. This role is responsible for coordinating and conducting residential and commercial real estate closings while delivering a high-quality customer experience from contract through closing. The ideal candidate will possess strong organizational abilities, excellent communication skills, professionalism, attention to detail, and the ability to effectively manage a high-volume transactional environment handling approximately 300–600 closings annually.

This position serves as one of the primary representatives of the company and plays a critical role in creating a professional, welcoming, and efficient closing experience for buyers, sellers, agents, lenders, attorneys, and referral partners.

Essential Duties & Responsibilities

Client & Closing Experience

  • Conduct residential and commercial real estate closings in a professional, accurate, and efficient manner.
  • Deliver a positive and professional customer experience for all parties attending settlement.
  • Review and explain closing documents clearly and confidently to buyers and sellers.
  • Maintain a calm, courteous, and solution-oriented demeanor during time-sensitive or high-pressure transactions.
  • Ensure clients feel informed, respected, and comfortable throughout the closing process.
  • Develop and maintain professional relationships with agents, lenders, attorneys, and referral partners.

Notary & Compliance Responsibilities

  • Properly notarize closing documents in accordance with applicable state laws and company procedures.
  • Verify identities and ensure proper execution of all legal and financial documents.
  • Maintain strict compliance with lender instructions, title underwriting requirements, RESPA regulations, privacy standards, and company policies.
  • Assist in ensuring files are complete and properly executed prior to funding and recording.

Transaction Coordination

  • Coordinate with processors, pre-closers, post-closing staff, lenders, and real estate professionals to ensure smooth transaction flow.
  • Review settlement statements and closing packages for completeness and accuracy prior to scheduled closings.
  • Manage multiple closings and deadlines while maintaining professionalism and accuracy.
  • Handle scheduling adjustments, document revisions, and client concerns in a timely and professional manner.
  • Assist with funding communication and post-closing follow-up as needed.

Office & Team Responsibilities

  • Contribute positively to a professional and team-oriented office environment.
  • Maintain organized electronic and physical transaction files.
  • Assist with front-office professionalism and client hospitality standards.
  • Participate in company training, compliance initiatives, and operational meetings.
  • Represent the organization professionally both internally and externally.


Qualifications

Required Qualifications

  • Active Notary Public commission or ability to obtain promptly upon hire.
  • Minimum of 2 years of experience in title, escrow, mortgage, banking, legal, or real estate closing environments preferred.
  • Strong communication, organizational, and interpersonal skills.
  • Excellent customer service abilities and professional communication skills.
  • Ability to multitask effectively in a fast-paced, high-volume environment.
  • Strong attention to detail and time management skills.
  • Proficiency with Microsoft Office and general office technology systems.

Preferred Qualifications

  • Experience handling high-volume residential real estate transactions.
  • Knowledge of title and settlement software platforms, including Qualia or similar systems.
  • Understanding of lender documents, settlement statements, title procedures, and compliance requirements.
  • Experience interacting with real estate agents, lenders, attorneys, and consumers.
