Job description

As a Notary, Vehicle Title Transactions (Transaction Specialist) on the Vehicle Titling team, you will provide exceptional service while overseeing the signing of critical title and sworn documents. You will verify identities, confirm document completeness, and notarize forms to support legally compliant transactions. You will research issues, resolve exceptions, and document work clearly to ensure timely, accurate outcomes. You will collaborate with internal partners and communicate confidently with customers and external parties.

Job responsibilities 
  • Notarize vehicle title documents by verifying signer identity, willingness, and document completeness
  • Affix notary seal and complete notarial certificates in accordance with applicable requirements and controls
  • Review title releases and related sworn documents for accuracy, completeness, and proper execution
  • Research requests, collect and interpret information, and apply findings to guide next steps
  • Prepare and maintain transaction documentation, including incoming and outgoing mail items
  • Resolve mail exceptions and follow established procedures to clear issues quickly
  • Document account and transaction activity thoroughly and concisely throughout the process
  • Handle escalated issues using sound judgment to achieve the appropriate customer outcome
  • Place outbound calls to customers, dealers, vendors, and internal teams when needed
  • Prioritize work effectively to meet quality, accuracy, and productivity expectations
  • Support team operations and assist with additional tasks as needed to complete daily work
Required qualifications, capabilities, and skills 
  • High school diploma or General Educational Development (GED) certificate
  • Active notary commission (or ability to obtain and maintain one, if required for the role)
  • Ability to deliver strong customer service with professionalism and empathy
  • Strong written and verbal communication skills
  • Strong problem-solving, analytical, and decision-making skills
  • Ability to work effectively in a fast-paced, high-volume environment
  • Ability to multitask across multiple systems (including typing while reading and navigating multiple screens)
  • Ability to follow procedures, regulatory requirements, and compliance controls consistently
  • Ability to manage escalations with good judgment and a focus on the right outcome
  • Ability to work collaboratively as part of a team
  • High attention to detail and a strong sense of urgency
Preferred qualifications, capabilities, and skills 
  • Prior experience in vehicle titling, motor vehicle operations, or document processing
  • Prior experience in a customer service role with phone-based support
  • Familiarity with banking or financial services operational processes
  • Proficiency with Microsoft Office, including Word and Excel
