Job description

Office Admin & HR Generalist

San Jose, CA

The Office Administrator & HR Generalist is responsible for ensuring the efficient day-to-day operation of the office while supporting all aspects of human resources. This role serves as the first point of contact for employees, visitors, and vendors, manages administrative functions, and provides HR support throughout the employee lifecycle. The ideal candidate is highly organized, customer-service oriented, and able to manage multiple priorities in a fast-paced environment.

This position works onsite daily on our 9/80 schedule.

Essential Responsibilities:
  • Manage the daily operations of the office and maintain a professional, welcoming environment.
  • Greet visitors and coordinate office access and security procedures.
  • Answer and direct incoming phone calls and general inquiries.
  • Coordinate office supplies, equipment, maintenance, and vendor relationships.
  • Manage incoming and outgoing mail, shipping, and deliveries.
  • Schedule meetings, conference rooms, and company events.
  • Maintain office files, records, and administrative documentation.
  • Assist with travel arrangements and expense reporting.
  • Support special projects and provide administrative assistance to leadership as needed.
Human Resources:
  • Coordinate onboarding and offboarding activities, including new hire orientation and employee documentation.
  • Maintain accurate employee records and ensure confidentiality of HR information.
  • Assist with benefits administration, enrollments, qualifying life events, and employee questions.
  • Coordinate recruitment activities, including posting jobs, scheduling interviews, and communicating with candidates.
  • Assist managers and employees with HR policies, procedures, and general inquiries.
  • Coordinate employee recognition, engagement, and wellness programs.
  • Assist with leave administration, workers' compensation, and unemployment claims.
  • Prepare HR reports, metrics, and documentation as requested.
  • Ensure compliance with federal, state, and local employment laws and company policies.
Qualifications:
  • 3-5 years of experience in human resources and office administration roles.
  • Working knowledge of HR practices, employment laws, and HR processes.
  • Experience with HRIS and Microsoft Office applications.
  • Excellent organizational, communication, and interpersonal skills.
  • Strong attention to detail and ability to maintain confidentiality.
  • Ability to prioritize multiple tasks and work independently.
  • Customer-focused with a positive and collaborative attitude.

The base salary range for this role is $100,000 to $120,000. Actual compensation packages are based on several factors that are unique to each candidate, including but not limited to skill set, depth of experience, and certifications.
