Assistant to the Business Administrator/Board Secretary

Major Areas of Responsibility:ย 

  1. Purchasing Coordinator for the district, assisting district wide staff in proper purchasing processes and procedures including reviewing submitted requisitions, and acting as liaison between Educational Data Services and staff entering requisitions as well as assisting in preparation of bid and rfp specifications
  2. Prepares purchase order requisitions and vouchers.
  3. Assists in the preparation of the annual school budget documents.
  4. Receives checks, makes deposits, prepares checks, makes wire transfers forย  specific accounts and performs bookkeeping responsibilities for variousย  subsidiary accounts.
  5. Assists with management of Food Service Management Company and processes free-lunch applications for "at-risk" students
  6. Maintains all documentation for yearly audit and responds to all requests fromย  auditors
  7. Processes agreements and follows up on payments for tuition paying students.
  8. Acts as liaison between non-public schools in Oakland and the State; processesย  Agreements, reporting and purchase orders for Technology, Textbook, andย  Nursing Services/Supplies entitlements
  9. Assists with Business Office and District-Wide Records Management as per NJ Treasury's Records Retention and Disposition Management System
  10. Assists with the preparation of Board of Education meeting agendas
  11. Assists BA and Assistant BA with oversight of managing Accounts Payable
  12. Assists BA in managing Board member and Administrator compliance with annual School Ethics filings
  13. Serves as Risk Management Coordinator, working as liaison between District's Insurance Broker, Staff and Insurance Companies and Joint Insurance Funds
  14. Assists Business Administrator with management of OPRA requests and responses
  15. Maintains high level of customer service and confidentiality for Board Members, administrators, staff and parent inquiries and issues
  16. All other duties as assigned by the Business Administrator/Board Secretary or Superintendent

Qualifications:ย 

  1. Four-year college degree preferred
  2. Working knowledge of software such as Word, Excel and email
  3. Strong analytical, communication, and human relations skills
  4. Minimum of three years' experience in general or school office work

Compensation:

Salary in a range between $75,000 and $105,000 commensurate with qualifications and experience. Unaffiliated position.
