Our client is a fast growing and respected Triad area employer and they are seeking to hire an Executive Assistant/Admin to join their team


The Administrative Executive Assistant will provide high-level support to company executives while assisting project managers and the design team with daily operational workflows. This role requires a professional who can balance traditional executive assistant duties with specialized knowledge of construction administration, documentation, and vendor coordination.


Key Responsibilities

  • Executive Support: Manage complex calendars, arrange travel logistics, screen calls, and handle correspondence for the executive team.
  • Project & Document Coordination: Track project statuses, organize architectural and construction documents, and assist with processing submittals, requests for information (RFIs), and permits.
  • Contract & Financial Administration: Prepare and review basic contracts, change orders, purchase orders, and vendor quotes while assisting with light bookkeeping or invoice tracking.
  • Client & Vendor Communication: Serve as a primary point of contact for clients, subcontractors, and suppliers, ensuring prompt responses and professional relations.
  • Office & System Management: Maintain physical and digital filing systems, update project management software, and order office or project supplies.


Qualifications & Skills

  • Education: High school diploma required; an associate or bachelor's degree in business administration, communication, or a related field is preferred.
  • Experience: 3 to 5 years of administrative or executive support experience, ideally within a design-build, architecture, or construction environment.
  • Software Proficiency: Advanced skills in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with industry management software like Procore, Buildertrend, or PlanGrid.
