Position: Onsite Construction Administrator

Location: Onsite – Las Vegas, NV (LVA Project); Chandler, AZ corporate office travel as required

Job Type: Full-time

Summary: As the Onsite Construction Administrator for Kovach Enclosure Systems on the LVA Project, you are the administrative backbone of the jobsite. This role owns the day-to-day flow of onsite paperwork and compliance documentation required by both Kovach and MMJV, ensures every new hire is onboarded correctly and completely, and supports HR, payroll, and union compliance requirements — including certified payroll. Working side by side with the Onsite Superintendent and Onsite Senior Project Manager, the Construction Administrator keeps the field team compliant, organized, and free to focus on putting work in place.

Essential Duties and Responsibilities:

New Hire Onboarding: Serve as the single point of contact for onboarding all new hires to the LVA Project. Coordinate and process all onboarding documentation, badging, orientation scheduling, and site-specific requirements for Kovach and MMJV, ensuring every worker is fully compliant after their first day on the jobsite.

Onsite Daily Paperwork: Prepare, collect, track, and file all daily onsite paperwork required by Kovach and MMJV, including daily reports, sign-in sheets, timekeeping records, safety documentation, and jobsite forms. Maintain organized, audit-ready records in accordance with Kovach and project document standards.

HR and Payroll Compliance: Assist HR and payroll teams with weekly payroll processing and compliance, including the preparation, review, and submission of certified payroll reports and statements of compliance. Verify timecards, classifications, and wage rates; identify and help resolve discrepancies promptly.

Union Compliance: Assist with union compliance requirements, including verification of dispatch paperwork, classifications, fringe benefit reporting, and other documentation required under the applicable labor agreements. Support responses to union or agency inquiries and audits.

Meetings and Coordination: Attend onsite meetings with the project team and MMJV as required; record and distribute notes, action items, and follow-ups. Communicate administrative requirements and deadlines clearly to field leadership and crews.

Superintendent and SPM Support: Provide direct administrative assistance to the Onsite Superintendent and Onsite Senior Project Manager, including document filing, correspondence, log maintenance, and coordination between the jobsite and the Chandler corporate office.

Recordkeeping and Document Control: Maintain accurate onsite personnel files, training and certification records, and compliance logs. Ensure documents are filed consistently in both project management platforms and shared drives per Kovach standards.

Skills and Qualifications:

Administrative Experience: 2+ years of administrative experience, preferably on an active construction jobsite or within a construction, HR, or payroll environment.

Certified Payroll Knowledge: Working knowledge of certified payroll and prevailing wage requirements (or a demonstrated ability to learn them quickly); experience with certified payroll reporting platforms is a plus.

Union Environment Familiarity: Familiarity with union labor requirements, dispatch procedures, and fringe reporting is strongly preferred.

Organization and Accuracy: Exceptional attention to detail, organization, and follow-through. Able to manage high volumes of time-sensitive paperwork without letting items slip.

Communication Proficiency: Strong written and verbal communication skills; comfortable interacting with field crews, corporate staff, the general contractor, and union representatives.

Computer Literacy: Proficient in Microsoft Office (Word, Excel, Outlook). Experience with payroll, HRIS, or construction management software (e.g., Autodesk Construction Cloud) is a plus.
