Job description

Tool Operations Coordinator
Play an integral role in supporting the efficient management, control, and administration of tools, equipment, and operational support services that enable construction projects and business operations to perform at their best.
As a Tool Operations Coordinator, you will serve as a key resource responsible for tool asset management, ToolWatch administration, project billing, procurement coordination, certification management, invoice processing, and operational support activities for the US Tool Group. Your ability to maintain accurate asset records, support procurement and billing activities, manage certification compliance, administer ToolWatch processes, and coordinate operational workflows will directly contribute to project success, tool accountability, cost recovery, operational efficiency, and customer satisfaction.
Based at the US Tool Group facility in Pasadena, Texas, this position offers the opportunity to take ownership of critical tool operations processes that directly support construction projects across the organization. You will work closely with project teams, procurement, vendors, contractors, and operational stakeholders to ensure tooling assets are accurately tracked, certified, billed, maintained, and available when needed. In addition to tool operations responsibilities, you will provide limited office and facility support to help maintain an organized, professional, and productive workplace.
Working a consistent 4/10 schedule (Monday through Thursday, 6:00 AM to 4:00 PM), you will support a fast-paced project environment while enjoying greater work-life balance with a three-day weekend each week. The position offers a starting pay rate of approximately $25.00 per hour, with consideration given to experience, qualifications, and demonstrated proficiency in tool management, procurement administration, asset tracking, and operational support functions.
Purpose of the role
The Tool Operations Coordinator is responsible for coordinating the administrative, operational, and asset management activities associated with construction tooling and equipment. Acting as a critical link between project teams, procurement, vendors, contractors, and internal stakeholders, you will ensure tooling assets are effectively managed throughout their lifecycle while supporting efficient project execution.
Working with minimal supervision, you will independently manage ToolWatch transactions, project billing activities, procurement support, certification records, invoice processing, asset documentation, and operational reporting while maintaining compliance with company procedures and customer requirements. You will also support project administration, document control, records management, and office operations as required.
This is a senior-level support role responsible for performing moderately complex assignments within a specialized operational environment. Through strong organizational skills, attention to detail, sound judgment, and a customer-focused mindset, you will contribute to operational excellence and support successful project outcomes across the business.
You will be responsible for:
  • Administering ToolWatch Asset Management System activities including tool issuance, transfers, returns, asset tracking, and reporting.
  • Processing monthly billing for tools issued to construction projects and supporting cost recovery initiatives.
  • Maintaining accurate records of tooling assets, certifications, inspections, inventory, and supporting documentation.
  • Uploading, maintaining, and auditing certification records within ToolWatch to ensure compliance and documentation accuracy.
  • Supporting tool inventory management activities and asset accountability programs.
  • Generating reports and providing data related to tooling utilization, billing, certifications, inventory, and asset management activities.
  • Monitoring tooling records to ensure data integrity, accuracy, and compliance with company procedures.
  • Supporting continuous improvement initiatives related to tooling management, inventory control, and operational efficiency.
  • Creating requisitions for tool purchases and coordinating with Procurement throughout the purchasing process.
  • Maintaining requisition logs, purchase order records, procurement tracking documentation, and procurement status updates.
  • Coordinating receipt and processing of packing slips, invoices, and supporting documentation for tooling purchases and operational services.
  • Entering and maintaining purchase order information within ERM and related business systems.
  • Processing invoices through established ERM and GBS workflows while supporting timely approvals and payment processing.
  • Monitoring open purchase orders and coordinating invoice processing and closeout activities.
  • Supporting vendor communications and coordinating procurement-related activities involving tooling, equipment, supplies, and operational services.
  • Assisting with reconciliations and moderately complex calculations associated with billing, procurement, and cost tracking activities.
  • Providing administrative and operational support for project teams, construction operations, and management personnel.
  • Supporting document control, records management, filing systems, and project documentation requirements.
  • Assisting with project reporting, data tracking, timekeeping support, and process coordination activities.
  • Supporting customers, contractors, and business stakeholders through effective communication and timely issue resolution.
  • Participating in special projects, process improvements, and operational excellence initiatives.
  • Identifying issues, recommending solutions, and contributing to improved operational performance and customer service.
  • Serving as a point of contact for routine office services and workplace support activities.
  • Coordinating incoming and outgoing mail, package deliveries, courier services, and document distribution.
  • Assisting with office supply and workplace consumable inventory management.
  • Coordinating service requests for office equipment, printers, copiers, and facility-related support services.
  • Supporting workplace health, safety, environmental, and housekeeping initiatives.
  • Maintaining organized records, files, and documentation in accordance with company requirements.
  • Helping maintain a professional, efficient, and productive workplace that supports project and operational personnel.
